We currently have an opportunity for a Director of Programs to help our strong team grow. This position would report directly to the Sr. Director of Operations. We are conveniently located in Warren, NJ (exit 36 or 40 off Rt. 78).
General Summary
This position is responsible for overseeing the Program Team for Phoenix Marketing Solutions. Responsibilities include allocating resources, developing SOP’s, liaising with Senior Leadership/Account Directors, interacting with clients and vendors, as well as ensuring adherence to company policy and process, and providing leadership for the development of team members. Key driver of IT initiatives within Phoenix Marketing Solutions.
Functional Duties and Responsibilities
· Directs Program teams to deliver the highest level of customer service to our customer/clients.
· Recommends organizational changes based on long-term business needs.
· Provides clear direction to team members in the implementation of their day-to-day activities for assigned programs to ensure successful execution.
· Allocates resources across teams, as well as in inter-departmentally; proactively identifies current and future resource requirements and communicates these to leadership.
· Meets with direct reports weekly to provide feedback and coaching towards individual and company objectives, ensures this standard across all levels of the organization.
· Works directly with internal IT programmers to maintain current meeting management system and identify new functionality to meet our client’s needs. Manages external IT consultants as needed.
· Collaborates with Human Resources for the sourcing and selection of qualified candidates, oversea the performance management process for each team, ensure proper use of the rewards and recognition program and work to retain high performers.
· Shares full accountability with team on all client services from inception through final delivery, and for meeting overall department objectives.
· Documents and implements procedures for the development and execution of each program type; measures adherence to those procedures.
· Responsible for financial management of the department relative to management of time, resources, and pass through expenses against specific and aggregated projects.
· Assists with budget tracking standardization per program, monitors and ensures managers’ adherence to budgets and proactively communicates discrepancies to leadership team.
· Oversees development, production, and distribution of materials to meet client expectations; ensures defined routing and approval of components adherence to standard process.
· Ensures training on, and utilization of, the meeting tracking system and its completeness.
· Manages multiple timelines and maintains a calendar and planning tools across projects of key dates and milestones; proactively identifies, manages, and communicates potential barriers in meeting expected deliverables within deadlines or defined expectations.
· Builds and maintains strong business relationships with internal and external business partners. Schedules consistent meetings with department heads to ensure quality and customer service expectations.
· Participates in vendor identification, management and evaluation as needed and/or requested.
· Ensures managers create and update weekly status reports; facilitates weekly status meetings.
· Assists with developing training materials and facilitates training of new team members on project/program types, standard operating procedures specific to the functional area, and roles and responsibilities associated with each.
· Improves standard of operating procedures, and best practices within the organization. Identifies common business needs across Phoenix Group functions leading to the development and implementation of cost-effective “needs driven” solutions.
Minimum Education and Experience
· Bachelor’s Degree required.
· Five (5) plus years progressive experience managing a staff.
· Seven (7) years experience in project/program management related to medical education within the pharmaceutical industry.
· Five (5) years experience in account management, having direct interface with clients.
· Five (5) years experience developing operational budgets and managing P&L statements.
Knowledge, Skills, and Abilities Required
· Proficiency in the use of Word, Excel, PowerPoint, Outlook, Access and the Internet.
· Excellent time management, organizational, and communication skills (oral, written, and telephone).
· Knowledge and understanding and ability to direct others on appropriate adherence to ACCME guidelines, OIG guidelines, and PhRMA.
· Ability to complete multiple tasks and manage a high volume of competing priorities across teams, ability to reassign workload to manage priorities.
· Ability to interact effectively with all structural levels of organization including clients, vendors and internal companies to meet group goals.
· Able to convey, understand and assimilate strategic, complex and/or detailed information.
· Ability to evaluate and troubleshoot immediate and longer range challenges for the group, and develop a solutions-based approach to overcome obstacles.
· Highest level of professionalism, integrity and confidentiality at all times.
Working Conditions
Office hours 8:30 am – 5:30 pm (some flexibility) Travel required: up to 5%
