Smith Hanley is looking for a Proposal/Project Analyst in Columbus, OH Responsible for developing and maintaining critical planning and tracking information associated with assigned company projects, providing timely and accurate project forecasts through the full life cycle of a project. Participates in the development and processing of project invoicing and change orders. May also be called upon to analyze and develop support for metrics used in bidding, assess functional department performance, and support all phases of project budgeting, performance, and resource leveling. ESSENTIAL DUTIES AND RESPONSIBILITIES: As assigned for sponsor projects: create and maintain the project financial workbooks for the assigned project, create and maintain integrated project timelines per the Scope Of Work, monitoring project performance relative to timeline and budgets on an ongoing basis and ensure that the MS Project Server schedules reflect the current status of the project. Routinely communicate project status, milestones and issues to the Business Project Manager and the affect Project Manager. Assure that accepted bids on assigned projects are properly loaded via data entry into the project and financial management systems. Participate in the development of a standard set of default reports used across all projects for tracking and projecting project status. These will be used as the common format for monthly project reviews. Assure that the weekly deliverables for assigned projects are updated in Project Server to support the coordination of weekly deliverables meetings. Assure that the various operations functions are aware of deliverable priorities and have adequate time to work around resource conflicts. Periodically secure WIP estimates from operations functions, on a frequency determined by either Project Management or Finance. As assigned, generate invoice preparation for each project on a monthly basis for Project Manager sign-off and Finance execution. Under Project Manager direction, develop project forecasts as part of the initial project workbook setup, including revenue forecasts, cost forecasts, profitability forecasts and cash flow assessments. Also develop periodic rolling 12-month revenue forecasts for the Company and annual revenue budgets, and supply Finance with JCO estimates on at least a quarterly basis. At the request of Project Management, work with other members of the project team to secure project cost estimates, conduct financial analysis to develop change orders, track the progress of the execution of the CO, and participate in their execution with sponsors. Provide Project Management with tools and project business data required for Key Meetings such as Internal Kickoff Meeting, Internal Team Meetings, Quarterly Project Review, Closeout Meetings, and Project Review Meetings. Perform financial and analysis as assigned and draw conclusions to make recommendations to management. Track and create Timelines for Corporate Objectives (e.g. Oracle implementation) as deemed necessary. Provide resource leveling reports in support of Project Management and Department Managers as needed. Ensure that resources are mapped to the correct Project code within the time management system in order to ensure accurate budget information (actuals). Maintain knowledge repository and share learning between projects in/outside of the department. Provide ad hoc analyses of project related effort for Project Management and other parts of the company on as-needed basis, including participation in the assessment and determination of metrics.The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job.
