The Specialist, Meetings and Convention Services will assist with the logistical, operational and marketing aspects of sales meetings and trade shows in North America. This includes assisting with the coordination of projects, site inspections, conveying specific requirements to vendors and suppliers and on-site support of events.
Duties of the position include, but are not limited to, the following:Prepare pre-show materials for conventions and trade shows including completion of exhibitor manuals and other logistical details.Compile data on various cities in regard to hotel space, meeting space, restaurants, transportation and audio visual. Organize and maintain data for easy access.Develop and coordinate information from attendees (i.e., invitations, registration, ground in/out transportation, etc.).Develop and communicate timelines for the project teams, service providers and outside vendors.Work to identify and resolve issues in a timely manner; anticipate, minimize and / or avoid potential problems.Obtain receipt of confirmation of all meeting and convention logistics.Maintain project binders with details of each event and maintain archived data.Provide on-site coordination of meetings including overseeing hotel staff, vendors and internal service providers to ensure a successful meeting.Prepare, update and distribute meeting agendas to include all relevant information for attendees.Obtain hotel room reservations for events including coordination with individual travel plans.Visit potential meeting sites to ensure facility is up to standards and meets internal client’s expectations.Recommend food and beverage selection for events, obtain approval and submit to appropriate vendors.Furnish management with assigned project progress and follow-up.Research availability of sponsorship and educational programs for conventions and trade shows and coordinate implementation.Coordinate and assist with the printing, packaging and shipping of all meeting materials to appropriate locations.Enter Purchase Orders in SAP for approval, review event invoices for accuracy and submit for approval. Monitor monthly expenses against approved budget.
Requirements:Bachelor degree from an accredited four-year college or university.Minimum of two years experience coordinating trade shows and meetings.Must be exceptionally detail oriented and conscientious with excellent planning and organizational skills.Independently prioritize and manage multiple projects while ensuring project objectives are met.Excellent judgment, assessment of situations and problem-solving skills.Ability to forecast problems and propose solutions.Excellent written and oral communication skills.Must possess tact and diplomacy.Ability to accommodate up to 25% travel.Proficiency in Microsoft Office Suite.
