JOB TITLE: TRAVEL AGENT/SPECIALIST

REPORTS TO:  V.P. CONFERENCE AND TRAVEL SERVICES

 

OVERALL PURPOSE OF JOB:

 

Manage the day to day operations of the Travel Department. Adherence to all established policy and procedures of Meditech Media and the Airlines Reporting Corporation.  Insure the overall success of airline ticketing for our internal and external clients, high level of verbal communications, sound decision making and detailed attention to follow up and the ability to successfully multi task.

 

KEY TASKS OF JOB

 

TravelManage Travel Department with day-to-day work responsibilities regarding airline ticketing.Assisting in the selection of the ticketing hardware and software program.Insure Meditech Media receives competitively price airline tickets.Research routinely airline programs offering reduced fares, rebate programs.Negotiate group rates with Airlines for both Domestic and International ticketing.Work closely with the Conferencing Departments to insure thorough understanding of the account assignment and time lines.Responsible for booking MTM staff flights as prescribed by company policy and procedures.Responsible for insuring the SAFE storage of the Airline Identification plates, as prescribed by ARC guidelines.Responsible for insuring the SAFE storage of the automated ticket printer, as prescribed by ARC guidelines.Responsible for insuring the SAFE storage of the automated traffic documents, as prescribed by ARC guidelines.Responsible for insuring the SAFE storage of ARC traffic documents (paper format) as prescribed by ARC guidelines.Responsible for insuring the accuracy and timely submission to include, but not limited to, Credit Sales, Interactive Agent Reporting, Sales Reports, Variable Remittance Options to the ARC and the V.P. of Conference and Travel Services,  as prescribed by ARC and upon request by the V.P. of Conference and Travel Services. Successfully and accurately complete account reconciliation within thirty (30) days. Assist in the preparation of estimates for bids to clients.Insure fiscally sound decisions for budgetary compliance and company profitability.Attend regularly scheduled team meetings to insure the success of conference travel.Meet regularly with the V.P of Conference and Travel Services to review overall operations for the Travel Department.And any other duties as assigned my Management. PERFORMANCE CRITERIA

RESPONSIBILITIES

Has high level of individual/team responsibility and discretion to make decisions with budget and execute to the fullest all prescribed regulations outlined by the ARC and MediTech Media.

 DEVELOPMENTAL FACTORS

The employee will be expected to deepen his/her knowledge about International Conference organization and will broaden the role as he/she develops within the job.

 ENVIRONMENTAL FACTORS

Based in Atlanta, Georgia.

 

Official work hours are 0900-1730 hrs, however must be willing to work overtime as required by conference schedule.  Additionally, as the department grows flexibility in working flex schedule will be required.

 PERSONAL SPECIFICATION

Qualifications:

 

Essential:  Minimum of 2 years full-time experience selling general travel services to the public, or 2 years experience in supervising the operation of a business offering general travel services to the public.  Demonstrate knowledge of the provisions of the Industry Agents Handbook through successful completion and proof of the Certified ARC Specialist Examination.

 

Desirable: Bilingual
