Summary Description
Responsible for assisting the Account Services staff in servicing clients. Fills in for and assumes the client responsibilities of Account Services Representatives in their absence. Supports the Account Services team in an administrative capacity. Potential for servicing a specific Account Services Rep in with specific category specialization. The natural growth step for a successful Account Services Assistant within the organization is to elevate to a full-time Account Services Rep.
Job Duties/Responsibilities
· Performs client interactions for Account Services Representatives in their absence.
· Initiates / manages timely notification of relevant new advertising to clients, informing clients of when and where competitive activity has occurred. Tracks media coverage related to special events or ongoing topics, relevant to clients. Reviews (researches) previous news broadcasts, upon client request.
· Takes orders for media tapes, transcripts, and other products from clients.
· Answers questions that existing or potential clients may have with company products, services or policies. Explains the monitoring process and educates clients about the service. Will obtain a thorough knowledge of VMS’s practices, procedures, services, and products.
· Prepares and updates existing and prospective client profiles that best fits clients’ needs. Responsible for the regular, continual update of client database, with client name, contacts, address, e-mail, phone number, fax number, etc.
· Assists Account Services by performing a variety of support functions and administrative duties such as forwarding messages, e-mailing & faxing information, preparing correspondence, and mailings.
· Prepares documents and memos using company provided software programs. Assists with distribution of information.
· Assists in special projects undertaken by Account Service Reps and also Account Service Managers, including but not limited to: analysis of clients’ usage patterns for VMS web-based services; database management; follow through and analysis of marketing initiatives; etc.
Qualifications
Education/Experience:
· Four-year college degree preferred.
Skill/Knowledge:
· Ability to communicate effectively in person and in writing. Ability to interact effectively with others: clients, peers, superiors, other employees in the company.
· Computer literacy, including experience with word processing. Ability to type.
· Ability to use standard office equipment such as fax machines, telephones, computers and printers, photo copy machines.
· General knowledge of Advertising (all media).
· Awareness of current events as obtained by regularly watching TV news, listening to radio news, and/or reading newspapers. Knowledge of American popular culture.
· Ability to work under pressure meeting deadlines. Ability to organize and manage many tasks, budgeting time accordingly.
· Ability to analyze problems, and to develop and implement plans to resolve problems.
