Executive Assistant, Investor Relations
A skilled administrative professional is needed to fill the role of Executive Assistant. This individual will provide support to the two Vice Presidents and the rest of the team, while maintaining a professional, organized and pleasant environment.
The position of Executive Assistant requires a mature individual with excellent organizational
skills, a strong sense of responsibility, a motivated self-starter with strong ability to work independently, a solid ability to prioritize and anticipate the needs of the VPs, and a demonstrated ability to work cooperatively as a team member. The ideal candidate will have significant experience successfully supporting senior executives in the financial industry.
Key Roles and Responsibilities:
Scheduling:
* Maintain schedule and manage calendar for the two VPs.
* Scheduling conference rooms and setting up meetings, as requested, by the VPs or team members.
* Assist with scheduling weekly Staff meetings
Travel:
* Create and maintain all travel itineraries for two VPs and as requested, other senior executives.
* Coordinate travel with Time Warner Travel Desk.
* Make reservations as requested.
Office Administration:
* Maintain open lines of communication with all members of the team.
* Maintain flexible work schedule during quarterly earnings process
* Maintain familiarity with all telephone, photocopy, fax, computer, printer, and other equipment used by the team
* Coordinate department's activities
* Be proactive and stay informed of TW administrative policies and issues.
* Maintain files
* Process bills in accordance with TW policy
* Stock and order on a timely basis all appropriate office supplies
* Handle sensitive information with good judgment and discretion.
* Prioritize email items and notify VPs of any items requiring immediate attention.
* Be accessible in the event of emergencies
Shareholder Relations:
* Support Manager in responding to general shareholder inquiries received from the Investor Relations shareholder phone line.
Expense Reimbursement:
* Document and submit travel and other business related expenses for reimbursement, consistent with company policies.
* Track all reimbursement requests.
* Manage the business related credit card accounts of the VPs to ensure a zero balance each month and appropriate and accurate filing of expense reimbursement requests.
* Oversee/track departments time off schedule and responsible for submitting all quarterly attendance records.
Support for VPs:
* Place calls, as requested, and provide telephone support for the VPs
* Maintain a running list of calls to be made by the VPs
* Maintain and update Outlook Contact database for the VPs
* Prepare presentation materials for meetings (copies)
* Compose and type correspondence, reports, labels and spreadsheets for VPs' review and signature
* Perform other general administrative duties and projects as assigned Requirements:

* Significant administrative experience, with proven success supporting a senior executive

* Positive, friendly and helpful attitude
* Knowledgeable with office systems (copier, fax, phone, computer)
* Ability to handle sensitive and/or confidential material and information appropriately
* Strong knowledge of MS Word, MS Excel, and outlook
