POSITION: Human Resources and Business Support Assistant
REPORTS TO: Executive Vice President/CFO, Vice President of Human Resources
MINIMUM EDUCATION: Bachelor’s Degree or combination of related training (secretarial school) with education and/or experience.
MINIMUM EXPERIENCE: 5+ years administrative experience, including at least 2 years supporting executive-level managers. Experience in Human Resources is strongly preferred.
SKILLS REQUIRED: Position requires outstanding technical and organizational skills, including Word, Excel, Access and/or HRIS. Knowledge and experience in coordinating committee meetings, maintaining calendars, and scheduling meetings in an organized manner is critical. Ability to prioritize conflicting demands, and perform duties with attention to detail and in anticipation of needs. Strong sense of customer service, including assisting employees with their needs in a positive, approachable manner.
JOB PURPOSE: Under general direction, provide administrative support to the Executive Vice President & CFO, and the Vice President of Human Resources. Coordinate human resources activities, programs and events.
PRIMARY ACTIONS:
• Provide general administrative support such as scheduling and coordinating meetings, travel arrangements, and related logistics.
• Act as a positive resource for employee questions and information on human resources policies, procedures, and programs.
• Prepare for new employees, including coordination with other departments and conducting employee orientation sessions with Benefits Director.
• Accurately input and maintain human resources database; run ad hoc reports.
• Coordinate the recruitment process including advising managers on steps, managing the administrative process, sourcing candidates, and receipt/distribution of resumes and follow-up as necessary.
• Manage Human Resources intern and intern projects.
• Prepare photo IDs and maintain employee photos in database.
• Process departmental expenditures, expense reports, and vendor invoices.
• Assist Benefits Manager with special projects and basic administrative tasks.
• Maintain and promote company pre-tax transit benefit, health club, and discount movie ticket programs. Design and distribute related, promotional materials.
• Maintain organized and current files and employee records.
• Organize and maintain supplies and inventory. Serve as administrative point person for general work area.
• Assist with managing employee events, benefits open enrollment, coordinating Emergency Response Team training, and other Human Resources projects and duties as assigned.
• Project a helpful, professional demeanor to all who come in contact with the Human Resources department, and the Executive Vice President/CFO’s office.
