This position works in establishing procedures for providing quality customer service in an environment requiring team work, efficiency, cross-training, and continuous improvement. Maintains a detailed knowledge of industry developments to ensure that products and services are state-of-the-art. Cross-train and provide assistance to all areas of the company and to customers. Respond to customer needs in a quick and effective manner. Improved customer relations measure this position's accountabilities. Maintains an extensive knowledge of company products and services, and coordinates activities with other company representatives. Excellent communication and interpersonal skills are required.
Responsibilities
The following are specific responsibilities assigned to the position of Senior Training Office Administrator. This individual will also perform other duties as assigned.
1. Manage a Learning Center
-Coordinate, administer, and maintain various training and development services.
-Manage the coordination of training classes and oversee facility administration, equipment and supplies. Manage a training computer lab and a highly-equipped classroom.
-Maintain and establish procedures (SOPs) in an environment requiring team work, efficiency, cross-training, and continuous improvement.
-Manage the participant enrollment process and maintain enrollment and evaluation data.
-Supervise the tracking of education and training expenses.
-Generate and distribute various enrollment and evaluation reports. Update weekly tasks reports and provide other reports as requested.
-Co-perform administrative and logistical details of daily operations including research, handling inquiries and information requests, and correspondence with facilitators.
-Maintain inventory of equipment and supplies and order training materials for courses.
-Set schedules and coordinate work of a small staff of instructional designers, a multi-media specialist, the training coordinator, and bookkeeper.
-Recognize and communicate potential implications of training costs, schedules and issues.
2. Draft and Produce Written Communications for Publication
-Research, write, and proofread client communications such as advertisements, announcements, and flyers for course offerings. Use of proper grammar is essential.
-Communicate in an effective and professional manner with internal and external contacts in a technical/professional environment.
-Ensure that procedures for peer reviews, tech edit, and client reviews are followed. Monitor the quality of all deliverables for the team.
3. Staff Supervision
-Closely supervise non-exempt administrative support staff (training coordinator, bookkeeper) under supervision of a senior manager.
-Prepare formal assessments of the attitude/ability/accomplishments of non-exempt employees under close supervision of a senior manager.
-Learn the company's HR policies and take self-directed training to learn supervisory skills.
4. Client Relationships
-Excellent communication and interpersonal skills are required.
-Maintain an extensive knowledge of company products and services.
-Represent unit to clients, vendors and suppliers.Required Experience
-Experience in a training unit or company required.
-Editorial and proofreading skills are essential.
-Proficent with desktop PC and Microsoft Office software applications. Basic Access database skills a strong plus.
-Demonstrated ability to work efficiently under conditions of multiple deadlines and changing priorities to produce a large volume of high-quality material with meticulous attention to detail.
-Bachelor's degree in education, training, information technology or a related field, and five to seven years of relevant experience.
-Formal supervisory experience a plus.
-Experience in an Information Technology or systems training environment a plus.
