****ADMINISTRATIVE ASSISTANT FOR BUSY SOMERSET SALES OFFICE****

APPLY FOR THIS OUTSTANDING ADMINISTRATIVE ASSISTANT POSITION AND EARN A HIGH INCOME IF YOU HAVE THE FOLLOWING REQUIREMENTS.  EXPERIENCE IN A BUSY SALES ENVIRONMENT A+: 

 

Administrative Assistant;  Sales: Report to Vice President/CFO

   

   Sales and Administration Responsibilities

 

Administrate Company Sales Prospect-Client Database System

1) Learn & follow company procedures for: Prospect/Client Database System

2) Inform sales reps when new sales/leases  have been entered

3) Review sales rep. entries into prospect database for compliance standards

4) Run weekly update reports as authorized by management

5) Maintain confidentiality of all database information:  Do NOT distribute hard copy

 

Create, distribute & maintain product price list (work with President and Sales Manager)

 

Organize and maintain sales and collateral materials

1) product literature, cd’s and competitive publications  (current/obsolete)

2) application software (those supported by our manufacturers)

3) third party lease documents: Get PDF’s of all document from each lease vendor

4) review and file info updates from product vendors

5) Order business cards as needed (see president for vendor info.)

 

Coordinate ALL Sales Proposals and Company brochure format

1) Revise and utilize our standard proposal format(s) for all proposals

2) Administer training program for sales reps to use proposal and brochure formats

 

Review sales orders/documents for accuracy and compliance to company policies

1) Inform sales reps if information is incomplete or incorrect

2) Return paperwork to sales reps for completion/correction

3) Once complete, prepare and proceed to invoice 

4) Provide CEO with monthly sales report within 48 hours of month end

5) Maintain ongoing database of incoming sales leads and final results of leads



Collect, Review and submit sales rep Monthly Expense Reports: Submit to CFO 

 1) CFO will provide calendar of due dates for sales expense reports  

2) Inform sales manager if expense reports are late or inaccurately completed

 

Disseminate Information: 

1) Provide timely dissemination of new product/application news to sales staff

2) Establish and disseminate (email) sales meeting schedule (coordinate with sales mgr.)

3) Coordinate periodic sales training sessions for new product/applications

a) work with manufacturers reps & VP of sales to arrange training

b)  arrange for necessary equipment & facilities for training

c) coordinate field sales activity (blitzes,etc.) with sales manager

Marketing 

  1)  Website

  a) Work with Web site host to update web page

b) Administer changes as required (seasonal or special occassion)

 

  2)  Other Marketing

a) Maintain all corporate logo info for company printed materials

   b) Create ‘contact program’ for clients and prospects

1)  Thank you letters: Sent to All new clients

2)  Coordinate & expedite periodic mailings to accounts and prospects

 

3)  Advertising:  (All outgoing material MUST be approved by President or VP before sending)

a) Maintain Co op advertising accounts:

b) Coordinate advertising calendar/programs with corp. officers 

c)  Assist sales reps with creation of ‘hand outs, mailers,etc.
