Administrative Assistant & Analyst
• Creates financial, statistical, narrative, and/or other reports on a regular basis.
• Arranges, participates in, and executes, conferences and department meetings, including reserving facilities
• Makes travel arrangements and processes expense reports as required.
• Develops correspondence and assists with field operations’ or customer service issues.
• Creates and tracks purchase requisitions and orders supplies.
• Performs typing and spreadsheet tasks as required
• Develops power point presentations, Visio-process flows and organization charts
• Establishes procedures that implement operational and/or fiscal policies
• Interprets corporate policies and procedures
• Organizes and maintains file system, and files correspondence and other records.
• Compiles data based on research techniques and on statistical compilations involving an understanding of operating programs, policies, and procedures.
• Complies reporting and distributes as required.
• Drafts financial, statistical, narrative, and/or other reports as requested.
• Composes reports and correspondence.
• Coordinates the activities of Regional Operations Director and Field Management Team as required.
• Processes correspondence, requisitions, vouchers, payments and other forms of consequence.
• Performs related duties as assigned;
• Coordinates calendar and priority list for director
• Prepare/edit PowerPoint presentations & MS Word documents as directed
• Must be able to work independently with minimal direction
• Coordinate schedules; send meeting requests and conference calls online. Prior experience managing schedules for others a plus
• Willingness to work in a team environment.
• Willingness to take on new assignments and projects.
• Phone coverage as needed
• Must have good proofreading and spelling skills.
• Strong organizational skills.
• Must be able to work with confidential information and restrict access as needed
• Last–line-of-defense/point of contact in emergencies when managers and director are unavailable
College graduation (or work equivalent with demonstrated capacity).
Must be an ambitious individual with a desire to learn and succeed.
Prior adminstrative experience or demonstrated capacity if no prior experience in an administrative role is required.
Strong Microsoft Office skills to include Word, Power Point and advanced skill set in excel.
Knowledge of MS Outlook. MS project and Visio a plus but not required.
Graphics or desktop publishing a plus.
Some productivity/CRM/sales management software experience helpful
