SUMMARY
An organized, dependable team player with a high work ethic to relieve Software Development Department of general clerical duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Documents key business processes for department and team. Required to nurture relationships with key individuals in other areas of the company, such as accounting, purchasing, accounts payable, building maintenance, etc.
· Implements ways to improve the general organization of the office space. Manages the maintenance of immediate work area, requests for maintenance and equipment purchases as needed.
· Organizes and prepares PowerPoint presentations.
· Prioritizes correspondence, email, publications and directives, and assembles and summarizes information as required. Takes action or refers those that are important to the manager, officers, and/or group professionals.
· Develops and maintains positive contacts with internal/external customers and suppliers, to give/exchange information, handle confidential inquiries, and expedite flow of work through manager's office. Receives invoices from suppliers, verifies accuracy, applies expense/project codes required for accounting systems, gets required authorized signatures and delivers to accounts payable.
· Organizes conferences, meetings and videoconferences. Arranges for catering: breakfasts, lunches and/or dinners as necessary. Arranges travel schedules and reservations for department and guests. Greets and escorts guests to appropriate person.
· Prepares various weekly and/or monthly reports, ensures employees time reports are done properly and on time and processes travel expense paperwork for department director.
· Other duties as assigned.
POSITION REQUIREMENTS/SKILLS AND ABILITIES:
· 3-5 years of administrative assistant experience.
· Experience in software development environment a plus.
· Proficient with Microsoft Word and PowerPoint.
Advanced Excel capabilities.
· Organized and detail oriented, must possess the ability to prioritize tasks
· Ability to interact well with all levels of people
· Excellent communication skills
· Able to work in a fast-paced environment
· Ability to work with confidential information
· Ability to multi-task
