Administrative Assistant - Legal

Position Summary:



The Administrative Assistant-Legal will be responsible for providing support to the legal department for all aspects of the business.  The ideal candidate must have solid communication skills (both oral and written) and an ability to manage multiple tasks and time lines concurrently.  The ideal candidate must be well organized, able to work in a highly charged environment, energetic, flexible and possess a “can-do” attitude.


Essential Duties and Responsibilities:

• Assist in general administrative duties as assigned by the legal department, including, but not limited to copying, scanning and filing
• Communicate to clients and clients’ counsel via phone, letter and e-mail
• Manage and maintain legal department filing system, including filing of correspondence, IP records, contracts and other legal documents
• Assist with Human Resource matters
• Manage and update employee files
• Review and process contracts
• Assist in preparation of Board, Committee and Shareholder documentation and communication
• Organize travel, events and meetings as required
• Process expense reports


Education and Experience:

• Bachelor of Arts, preferably with an Administrative, Legal or Business degree.
• Minimum 2-3 years prior work experience as a Legal or Administrative Assistant.
• Background in Human Resources or Employment Law is a plus.

Technical Knowledge and Skills:

• Ability to work with and manage tight deadlines
• Ability to manage multiple projects simultaneously
• Exceptional proficiency in drafting correspondence, proofreading and maintaining an organized system of filing correspondence, documents and records
• Ability to coordinate projects and work assignments with minimal supervision
• Excellent organizational and communications skills (both oral and written)
• Proficiency in Windows 2003, Adobe Acrobat, and Excel
