Administrative Assistant - Protection Systems (1133)

This position supports the administrative and operational needs of the office by performing the following activities.Create and issue Material Requisitions. Perform Inventory transfers, create and issue Purchase Orders, process A/P Invoices, Set up new Service Jobs, process service file update information, set up Install Jobs including budgeting information, process change order information in Install Job Files, Invoicing Service and Install Jobs. Communicate orders to vendors, suppliers and subcontractors. Schedule Inspection Services weekly, review service reports to process proper billings to customers on a weekly basis. Maintain filing systems within the branch Run open Material Requisition, and Open Purchase Order reports monthly to verify all items have been received and issued. Prepare correspondence to customers as required to support project, service and sales activities Write checks and reconcile account monthly, maintain permit records, request Notice of Commencement as needed, call and schedule permit documents to be pick up by permit company, and track status of permit. Provide phone support including switchboard operator activities. Support Managers in preparation of proposals, marketing literature, and marketing activities. When required, pursue sales of spare parts directly with the customers. Receive and sign for the deliveries. Unload truck with forklift as required.

Required Skills:Ability to understand and operate in an automated accounting/inventory system. Personal Computer literacy. Excel, Word, and Inventory system. Ability to communicate well in writing and verbally with customers, vendors, suppliers and subcontractors. Ability to take direction form Regional Manager and work closely with operations and Sales personnel. Ability to understand field reports and process proper billings.

Experience RequiredL2 plus years experience in office administration.
