Attendee Management Coordinator - 00IXV
The Meeting and Event Services (M&ES) Attendee Management Coordinator works with periodic supervision to create and manage attendee management Web sites and associated attendee management tasks, which support complex and high-profile Ernst & Young internal and external meetings. This individual follows firm, business unit and department policies, guidelines and procedures. The Attendee Management Manager will support the M&ES mission statement by effectively, consistently, and seamlessly delivering innovative meetings and events that add to the success of the meeting's objectives, maximizes value for the firm and optimizes the meeting's budget. This individual will promote a winning, team-based culture, and initiate and/or contribute to M&ES best practices that aid the team in accomplishing our mission and goals. Using M&ES Guidelines and Procedures, the Attendee Management Coordinator makes recommendations to internal clients and planners regarding best practices and procedures in setting up attendee management Web sites and ensures parties are well educated and prepared on the guidelines and procedures. This individual may also recommend solutions to account managers or senior planners regarding specific aspects of a large National or Area meeting. The Attendee Management Coordinator works with minimal supervision to ensure smooth day-to-day operations using the M&ES attendee management tool and interfaces with internal clients and M&ES planners to build and manage their registration sites. This individual also works directly with the technology supplier to identify issues of concern and recommend enhancements/improvements to the system. Responsibilities Work with and advise meeting planners and advise internal clients on recommendations on meeting requirements. Design, draft and send registration invitations, reminders, confirmations, etc. for meeting/event attendees. Develop and/or maintain participant lists compiled from registration Web sites. Develop and build customized system reports for management and clients. Manage rooming lists process on multiple meetings and communicate with hotels. Correspond with attendees throughout registration process. Collaborate with system administrator to develop process improvements and troubleshoot registration web sites. Work with meeting planners and internal clients to manage all aspects of attendee registration. Travel to on-site location to manage meeting/event registration on-site as necessary. Train new planners on registration procedures and the functions of the M&ES registration system. Develop an attendee management plan for each meeting and train clients how to effectively manage their plan. Work with others on the M&ES team, lead or participate on special projects. Overtime may be required based on volume of work or scheduling. Vacation should be planned in advance and not taken during peak meeting periods. Moderate amount of travel is required. On-site meeting support may require extended hours of work and ability to move quickly to multiple function locations.To qualify, candidates must have:a bachelor's degree or equivalent work experience approximately 2 years of experience in Web-based attendee management some knowledge of/experience with hotel registration procedures, front desk and group registration procedures, corporate group knowledge is expected experience with on-line attendee management programs, HTML, JavaScript and Database Management good communication, interpersonal and organizational skills ability to work effectively with clients, management and staff members sound judgment and tactOH-Cleveland
