Web marketing firm is looking to add top talent to their team.  The Chicago location is currently seeking an intelligent, professional, and energetic Administrative Assistant to support senior level management.  The primary responsibility for this position is to provide a full range of billing & administrative services. Candidates must be able to multi-task while remaining detail-oriented in order to provide excellent customer services.


Responsibilities:
Professionally answer and distribute incoming calls routing to appropriate person Greet all visitors in a friendly and courteous manner Handle communication with employees, managers and all outside sources in a professional and pleasant manner Handle best practices for dealing with inquiries from outside sales representatives - act as first line of defense - transfer calls only as appropriate Assist Billing Department with billing process Maintain daily billing reports Audit billing reports as necessary Maintain and enter customers into the database Monitor  design and project sign offs Charge credit card payments and apply check payments Become knowledgeable about our company, its business and services Prepare customer satisfaction surveys Prepare a brief presentation about your responsibilities and procedures when necessary Maintain office area so that its appearance is always guest-ready and communicate to the HR Director any deficiencies in appearance of lobby or general office area Oversee all incoming and outgoing packages Go to post office and banks as needed Perform typing, clerical tasks and filing as assigned Assist HR Department with recruitment process Other projects and duties as assigned Specific attention to punctuality and ability to work assigned hours Monday through Friday 8:30am-5:00pm

 

Requirements:
2 years or more experience in a corporate environment High School diploma or some college Strong computer skills and familiarity with Word, Excel, Outlook as well as the Internet; typing at 50 wpm, Professional demeanor Problem solver Ability to work under pressure and to meet deadlines Ability to deal with difficult customers and turn them into happy customers Detail oriented, ability to prioritize and multi-task Ability to interface with customers and coworkers in a cooperative manner with an extremely strong belief in stellar customer service Ability to work with various types of management styles and levels Ability to work autonomously as well as collaboratively Sterling verbal communication, organizational and administrative skills as well as sound judgment and effective decision making skills Ability to take on new challenges and responsibilities Ability to work under minimum supervision
