Direct Hire Receptionist w/ Great Benefits Package

Founded in 1946, our confidential client is a global executive search that was the first firm to focus entirely on retained executive search.

 

They are looking for an individual who will give a welcoming first impression.  They should have excellent people skills, able to communicate with guests openly and without hesitation, a professional image, and must be smart and articulate. 

 

Hours: Monday-Friday 8:30-5:30pm

 

Salary: Up to $35K

*This company offers a 401K plan, profit sharing, medical insurance, and a year end bonus

 

Responsibilities & Qualifications:

Telephone

·  Answer all incoming calls; screen for name and company

·  Maintain a daily in/out list of employees in order to more effectively answer and forward calls

·  Telephone training for new employees

·  Telephone programming

·  Printing individual phone templates (labels)

·  Recording all greetings and changing service/greetings as necessary

–  Record new “alternate greeting” for all holiday closings and switch service to “alternate greeting”

–  Switch to “lunch” service while out for lunch

–  Switch to “night” service at end of day

 

Greet visitors

·  Offer refreshment and show into conference room or Consultant’s office as scheduled

–  Always serve in glass glasses or finer coffee cups

·  Let appropriate Consultant/Associate or their EA know the individual has arrived

·  Update conference room calendar and check daily

 

Mail

·  Retrieve, sort and distribute incoming mail (between 2:00 and 4:00pm each afternoon)

·  Apply postage to outgoing mail & ensure all mail goes out by last mail pickup.

·  Incoming resumes to day tickler

·  Incoming checks/invoices to Business Manager

·  Maintain postage machine and ensure $25 minimum postage is available

 

Maintain office appearance/request maintenance as needed

·  Maintain appearance of Reception Area and Conference Room

·  Liaise with building for general facilities issues – lighting, temperature, etc.

·  Insure all lamps have working light bulbs

·  Dispose of newspapers older than 5 days

·  Coordinate kitchen maintenance

 

Maintain equipment and supplies

·  Insure sufficient supply of paper, toner, etc. at all times

·  Insure printers have ample supply of paper each morning

·  Recycle used toner cartridges

·  Schedule all repairs and maintenance

·  Maintain supply inventory and order as appropriate

·  Maintain kitchen inventory and order as appropriate

 

Assist Executive Assistants as necessary
