Executive Assistant to the CEO

Specializing in Medicaid and increasing the availability of affordable healthcare to low-income persons, we work with government and the private sector to meet the healthcare challenges of the 21st century.
Essential Functions:
The Executive Assistant (EA) will effectively manage multiple administrative responsibilities as they relate to enhancing the efficiency of the CEO. The Assistant will report primarily to the CEO, and will support their day-to-day business and personal responsibilities through a variety of essential administrative tasks. The EA may also perform some limited tasks for the COO. This position requires independent judgment with speed and a high degree of accuracy. Successful candidates will be extremely organized, able to handle multiple tasks on short timelines, and will be flexible and adaptable to dynamic situations and changing priorities. The EA must represent themselves and the firm in a highly professional and courteous manner.
Primary Responsibilities:
Administrative Functions Coordinate all scheduling requests, including arranging times and logistics for meetings, appointments and telephone calls Coordinate all travel arrangements, including flight, train, hotel, coach/rental car, etc., with the firm’s travel agent Track and enter hours and expenses into web-based record system Manage written correspondence (emails, thank you notes, conference registration and other forms) Manage and distribute task and call lists Manage follow-up activities to ensure their completion Answer office telephone lines and transfer calls Keep detailed notes from meetings and calls and submit when requested Create and modify documents and presentations using Microsoft Office Suite Perform general clerical duties to include photocopying, faxing, mailing and filing Manage and update contacts databases Coordinate booking and catering requests for events and meetings Assist with some event planning within and outside the firm (retreats, workshops, other events) Work in conjunction with other staff in an effort to increase overall efficiency in the firm Provide various other administrative functions as needed Limited travel as needed
Personal Functions Coordinate and manage non-work related activities as required, including some personal errands Assist with overall personal organization
Education and Experience: Minimum of five years of experience as an administrative or executive assistant successfully managing similar responsibilities as those listed above Bachelors degree preferred but not required Ability to communicate effectively in both verbal and written form Mastery of Microsoft Office Suite Positive, pro-active and resilient attitude desired
