Human Resources Specialist
Reporting to an immediate HR Supervisor and the VP of Administration, the HR Specialist will maintain integrity of HRIS (record setup, security, data entry, reports) and benefits administration (including health & welfare plans and 401(k) plan). Maintain integrity of personnel files. Respond to requests for data (e.g., employment references). Provide project and general support to the HR department. SPECIFIC RESPONSIBILITIES HRIS: Timely and accurately process employee new hires, terminations, address changes, pay and position changes, benefit elections, and all other personnel changes. Establish and maintain tracking processes and reports for employee actions such as reviews, benefits, anniversaries, EEO-1 report, etc. Play an integral role in weekly payroll time review & approval as well as processing of company wide payroll bi-weekly. Responsible for HRIS administration including but not limited to table maintenance and security setup. Benefits Administration: Coordinate employee enrollment / changes. Disseminate enrollment elections / changes to necessary parties (e.g., carriers). Audit monthly bills for accuracy. Notify employees of 401(k) eligibility and process enrollments. Maintain & distribute new hire orientation manuals. Provide employees with claims advocacy as appropriate. File Maintenance: Ensure all personnel files are accurate, up to date, and legally compliant. Maintain confidentiality of all records within HR. Ensure all HR files / forms are current and consistent. HR Support: Provides general and project support to the HR Department and other areas of the office as needed. Performs other duties as required including occasional backup to reception.
Coursework or relevant work experience with human resources, payroll processing, benefits coordination, new hire & termination processing, or employee file maintenance a big plus. Strong computer skills including Microsoft Office (strong Excel, Word and Outlook a must). Must be able to work in a highly confidential environment . Must have very strong attention to detail and ability to follow up. Strong communication, multi-tasking and organizational skills . Professional phone presence and positive, helpful attitude.
