Logistical, Meetings, and Administrative Program Support

Position Summary:

 

Cygnus Corporation, Inc., a professional services firm located in Rockville, Maryland, seeks organized and detail-oriented individual to assist with logistical and administrative responsibilities related to long-term Federal contract activities.  This position requires a team player that will maximize contract staff effectiveness by providing logistical coordination and scheduling support related to contract activities; meetings and travel arrangements; compilation of reports; updating and maintenance; and assistance with various other administrative support activities.  Must be comfortable interacting with staff and clients with poise.  This position is part of a unique contract staff that relies on collaboration to meet the client’s needs.


Qualified candidates will be focused, hard working and understand the value of efficiency and attention to detail.

Required Qualifications and Skills:

 

Proficiency in Microsoft Office Suite. Ability to solve problems with supervisory consultation or by following procedures. Ability to prioritize work and the flexibility to change directions as the job dictates. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees through effective communication. Good written, oral, and interpersonal skills with a proven ability to effectively interact with all levels of employees.

 

ESSENTIAL JOB DUTIES:

1. Performs clerical and administrative tasks including word processing, copying, faxing, filing, answering and screening calls, and compiling and coordinating mailings. Creates, maintains, and updates records, databases, and files. May serve as timesheet coordinator.

 

2. Writes and edits correspondence and status reports. Serves as rapporteur at client meetings and prepares meeting minutes.


3. Coordinates logistical arrangements for team meetings and conferences. Assembles and reproduces agenda books and briefing materials. Provides administrative support for meetings. Coordinates travel and lodging arrangements. Selects menu and arranges for support services. Registers attendees. Provides assistance at meetings and resolves issues.

3. Performs basic research activities, including literature searches and compilation of survey results for staff and committee members.  Gathers references.  May participate in other research efforts including collection, assembly, and tabulation of data and summarizing literature.  

4. Inputs edits and proofreads reports. Formats text and publications. Coordinates with staff to have materials and reports printed.

5. Responds to inquiries and follows-up on communications. Communicates with members, sponsors, or other external customers, answering questions and providing information.

6. On occasion attends meetings, training classes, and workshops.

7. May update and maintain web pages and intranet workspaces.

        8.  Assists with meetings and events logistics.

 B.A./B.S. degree required; CMP, CEP or similar certification or training a plus.  Salary is negotiable depending on qualifications.  EOE
