Program Coordinator
Healthcare Information and Management Service Society is in search of a Program Coordinator for its Chicago Office.
The purpose of this position is to serve as a coordinator for member recruitment, retention, and services. This position is responsible for coordinating monthly renewal notices and new member outreach programs and will serve as the department representative for HIMSS member inquiries. This position will also administer access to various databases and member benefits and provide usage reports. Additional administrative duties include: processing membership applications, data entry, conducting data integrity processes, preparing reoccurring membership reports, maintaining database files for internal customers, and supporting internal departments with databases processes.
Primary Accountabilities:
· All duties as assigned to achieve HIMSS goals and objectives.
· Prepare and deliver monthly renewal notices for regular and electronic mailing.
· Coordinate new member outreach programs.
· Develop and maintain good member relationships by providing first-rate service as the Membership Department representative for member inquiries via incoming phone calls and emails. Analyzes requests from members and responds or routes to appropriate staff.
· Makes out-bound phone calls in accordance with HIMSS goals and customer needs.
· Troubleshoots service issues and provides resolution using independent discretion and in accordance with HIMSS requirements.
· Documents service issues in accordance with established procedures.
· Administers access to member benefits and various databases and generates usage reports.
· Processes membership applications ensuring accuracy.
· Conducts data entry and data integrity checks.
· Maintains database files and conducts list uploads.
· Prepares reoccurring membership reports and statistics.
· Monitors and verifies periodic data feeds (uploads), and assists to resolve problems as necessary.
· Perform other related duties as required or assigned that contribute to the effectiveness of the department.
Required Qualifications
· Bachelors Degree, or equivalent experience in related field
· Strong written and communication skills and knowledge of computer programs/technology.
· Three years of related work experience; Previous experience in a professional society, trade association or healthcare management preferred
· Ability to act independently and manage multiple tasks simultaneously.
· Ability to coordinate internal resources to meet customers’ needs and respond to inquiries in a timely fashion.
· Excellent written and verbal communication and presentation skills. Effective listener.
· PC proficiency, including MS Outlook, Word, and Excel; experience with TIMSS or other customer focused database management software.
· Customer focused with energetic assertive, self-confident personality.
· Outstanding analytical skills with ability to achieve results in a complex environment.
· Ability to articulate and to sell ideas and concepts.
· Outstanding interpersonal skills - The ability to respond and work with a wide range of personality types internal and external to the organization. Strong personal integrity.
· Superior planning skills, both strategic and tactical.
· Background or knowledge in information systems and technology is an asset. Experience with the TIMSS database management software is preferred.
