Under direct supervision, the Records Management Staff is responsible for the inventory, storage and maintenance of the firm's files and work papers in the General Counsel's Office. The responsibilities of this position include, but are not limited to, assisting firm personnel and clients with requests to retrieve and file records (both on and off-site), and ensuring that records are properly stored and maintained within firm guidelines. Responsibilities Manages various facilities services functions at EY sites ensuring that consistent, quality, and cost-effective services are provided. Provides expertise to ensure that EY assets and image are protected by maintaining a safe, functional and productive work environment. Accurately labels and shelves newly submitted records in accordance with firm standards. Ensures record submission forms capture all required data. Identifies records with missing or incomplete data and notifies appropriate person(s) in attempt to acquire data. Accurately enters data into records management systems according to firm standards. Efficiently retrieves and checks out records as requested in accordance with firm standards. Effectively retrieves records from and returns records to off-site storage as requested. Maintains compliance with firm records retention policy (e.g., data archiving, retrieval and destruction). May assist in the maintenance of records affected by litigation holds as required by the General Counsel's Office. May assist with basic library clerical duties, including, but not limited to, routing of periodicals, checking in new materials, verifying and entering invoices for library purchases. To qualify, candidates must have:a high school diploma or equivalent work experience approximately 1-3 years of work experienceKnowledge and Skills:a positive attitude strong attention to detail sensitivity to clients' needs the ability to meet or exceed customers' expectations strong oral and written communication skills active listening skills demonstrable interest in the business of the firm; the ability to develop internal contacts and resources a results-oriented approach; the ability to complete assignments on time and manage multiple priorities open-mindedness; flexibility; the ability to actively seek new challenges, take responsibility for personal development, respond positively to feedback, and offer input on how to improve processes and methods the ability to work collaboratively computer literacy; willingness to learn EY proprietary systems and software NY-New York
