Meda is currently seeking a highly professional Sales Coordinator to provide administrative and sales support to the multiple sales regions as well as provide human resources support nationally. This position is based in Somerset, NJ.
Responsibilities include, but are not limited to,:
• Provide administrative support to assigned client groups (sales regional offices) including:
o General office management
o Calendar management
o Photocopying
o Faxing, filing
o Travel arrangements
o Mailings, special projects
o Process invoices and prepare purchase order requisitions
o Report generation and analysis
o Coordinate and set up meetings
o Prepare presentation materials
o Updating roster
o Monthly reports, budget trackers, etc.
o Review of expense reports
• Provide back-up administrative support as needed
• Provide human resources support, including,:
o Act as liaison with recruitment partner, and other vendors as necessary
o Post open requisitions
o Coordinate with recruitment partner
offer letters
new hire packages
ensure all new hires are prepared to start (contingencies have cleared, etc.)
update and distribute weekly vacancy status reports
o Assist in compilation of HR metrics and data for distribution quarterly
o Work with HR team to ensure recruitment procedure and associated documents are up to date and posted via Intranet
o Collect and review all new hire and separation paperwork
o Create new personnel files
o Send roster changes to appropriate distribution for all colleague changes including new hires, separations, promotions, etc.
o Work and coordinate closely with benefits, HRIS and payroll
Review and (in some cases) prepare colleague change forms and distribute to appropriate departments
o Prepare promotion letters and supporting paperwork
o Process tuition reimbursement and colleague referral payments
o Report generation as needed
o Assist team in special projects as needed
• A minimum of 3 years of sales support required, preferably within the pharmaceutical industry. A minimum of 2 years of HR support preferred.
• Excellent relationship and interpersonal skills, with the ability to work with a variety of people, internally and externally, and in varying levels of the organization
• Superior organizational and attention to detail skills, with the ability to work independently and balance multiple priorities and projects
• Ability to handle sensitive and confidential information with maximum discretion
• Ability to work under pressure and handle new challenges and adjust to change quickly
• Strong customer focus and sense of urgency
• Advanced knowledge of the Microsoft Office Suite (2007)
• Experience with Webex and SAP a big plus
Bachelor's Degree Required
