The Inbound Visa & Immigration (V&I) Coordinator is responsible for handling the overall process of the firm's J-1 Exchange Training Program under minimum supervision. The J-1 process includes but is not limited to reviewing and assessing all incoming requests, ensuring all participants meet the Department of State requirements, process the J-1 visa forms and visa fees, ensuring that all proper documents are collected in each file and are up to date and current, monitor all J-1 cases from start to finish, updating SEVIS system on a weekly basis, consistent follow-up with J-1 participants on work location changes and address changes. While the main focus of this position will be J-1 visas, as time permits and volume may necessitate, the V&I Coordinator will be responsible for coordinating the processing of H-1B, L-1, TN, E-3 and green cards with the outside immigration counsel. The ability to assist with different visa types is important in this position and some cross training will be available. This individual will also be responsible for counseling international business travelers on what types of work is allowable under a business traveler visa and when a work permit/visa is required. This position works closely with HR and Recruiting community in hiring process that involves immigration sponsorship. It is important that this position keep up to date on emerging legislation and aid in assessing its impact on our business. ResponsibilitiesResponsible for answering calls from E&Y employees through the International Travel Compliance hotline desk and assist with immigration questions and issues. Establish and improve processes, work with management to establish business intent, and recommend the type of visa needed. Work cases from start to finish. Improve the flow of information and follow up activities to ensure accuracy of the individual's status. Assist in obtaining documents necessary for work permit/visa application (birth certificates, marriage licenses, police reports). Apostilles, consulate legalization, translations Resolve outstanding issues with appropriate parties, including Human Resources, the employee, our outside counsel, government agencies and foreign embassies. Consult and work with outside immigration counsel for clarification on immigration issues (requirements, lost/stolen visas, inability to obtain proper documents from foreign embassies, etc.). Stay current on legislation. Engage in global communication with all levels of personnel/management seeking advise on global visa-related issues (type of visa and its appropriateness; adherence to policy and proper procedure). Track validity dates for work permits/visas to ensure appropriate reminders are issued. Participate in the selection of, monitor the performance of, and formally evaluate our internal and external vendors. Attend Expatriate Orientation and explain the services they can provide and discuss any current immigration issues. To qualify, candidates must have:a bachelor's degree in a related discipline; or equivalent work experience approximately 2 years of business immigration work experience international exposure, cultural awareness a plus the ability to work with government agencies, foreign embassies and outside counsel knowledge of HR issues good verbal and written communication skills strong organizational skills the ability to interface well with all levels of personnel ability to work in a fast pace environment with minimal supervision PC proficiency the ability to pay close attention to detail and sensitivity to timing the ability to support and maintain effective client-vendor relationships good judgment and analytical abilities Must possess: Great Customer Focus Conflict Management Skills Strong Written and Verbal Communication Skills Flexibility NJ-Secaucus
