Government Affairs Coordinator at Lyondell
Plans, organizes, and manages the administrative support for the Office of Government Affairs. Performs a variety of administrative functions to support the Associate General Counsel, Manager of Government Affairs, Manager of State Government Affairs, and the Sr. Political Advocacy Specialist. Creates / distributes correspondence with legislative bodies and federal agencies using appropriate government affairs protocol (must be familiar with legislative committee structure, government affairs nomenclature, functions / branches of government, etc.). Performs administrative duties including word processing, photocopying, filing, purchasing office supplies, developing/maintaining spreadsheets and databases and completing complex graphical presentations. Processes vendor payments in a timely manner; effectively communicates with internal disbursements department contacts, vendor account receivables contacts, and supervisory payment approvers to ensure seamless payment process. Manages multiple calendars, mail and e-mail, phones, prepares reports, responds to correspondence, coordinates internal / external scheduling of meetings and related details in accordance with established corporate format, protocol, and standards. Coordinates and oversees travel arrangements, contractor assignments, and expense reporting. Purchases office supplies. Track project management benchmarks & update project plans. Coordinate internal and external meetings, events, and conferences, including travel, hotel, food service Organize & maintain file systems, prepares reports and presentations.Works with sensitive information and maintains confidentiality.
Minimum 8 years administrative experience (preference given to those experienced in the operations of a governmental affairs office) and some college preferred.
Demonstrated proficiency in personal computer skills, including Microsoft Word, Excel, PowerPoint, and other word processing, graphs, spreadsheets, database and Outlook software; proven math and basic data analysis skills required. Experience with SAP is preferred.
Must have excellent interpersonal skills - should be able to exercise tact and discretion and communicate / coordinate workflow assertively and diplomatically at all levels of the organization, especially at the senior manager and executive level.
Must have well-honed organizational skills – be detail oriented and able to manage and prioritize multiple and diverse projects and tasks in an effective and timely manner.
Demonstrated experience working independently and resourceful to achieve required goals and high quality results. Should possess sound deductive reasoning, analytical, and problem solving skills. Prefer a candidate with knowledge, background, and interest in the Washington, DC political environment and its related political and governmental legislative / regulatory processes. Must be at least 18 years of age. Must be legally authorized to work in the United States on a permanent basis without visa sponsorship (U.S. citizen, U.S. Permanent Resident).
