Account Manager

From online data archiving and retrieval service to document processing, distribution and delivery enhancement, DIVDAT prints and mails millions of invoices, statements, and letters every month. Online bill payment and processing provides additional delivery options as well as broadcast voice, fax, SMS, and email notification to ensure that information gets to where it needs to be—when it needs to be there.
DIVDAT currently has an opening for an experienced Account Manager at their corporate office in Michigan.
Reports to: Account Director
Direct Reports: None
Location: Ferndale, MI with travel to client locations, as necessary
Overview: Retains and develops client accounts by understanding the client needs and taking total responsibility for the client relationship. Holds regular internal and external project meetings, develops constructive relationships with all colleagues across all parts of the business. Sets, delivers, and monitors client objectives through written action plans and proactive pipeline management. Continually builds up-to-date production knowledge of DIVDAT.

Responsibilities
The Account Manager is responsible for three key result areas:Account ownership [retaining and growing]Working on solutions development with a teamProject Manager and excellence in delivery
1. Account Ownership
· Assists in facilitating correct and timely invoicing
· Maintains daily/monthly/weekly/quarterly contact with client
· Knowledgeable of all the details of the client and the account
· Ensures professional and effective communication in all correspondence; written and oral.
· Adapts communication style to suit audience
· Conducts meetings with key decision makers to ensure ongoing effective communication
· Shares knowledge and sensitive client information appropriately
· Educates the client in order to optimize working relationships
· Seeks to build client relationships at most senior levels
· Introduce new products as appropriate
· Develops rapport to establish potential client relationships at the earliest opportunity
· Identifies solutions for client’s immediate issues that occur
· Shares expert knowledge for incorporation into client proposals, work plans, etc.
· Keep adequate Inventory Management records for client accounts and ensures month end reports are accurate
· Monitoring files and outgoing mail using DIVDAT’s File Tracking System
· Use DIVDAT’s File Tracking System to audit activity for volume trends and/or missing files
· Monitoring the status of job productions
2. Working on Solutions Development With a Team
· Creates achievable goals
· Develops constructive internal relationships
· Contribute to company development by recommending new approaches and improvements to company efficiency
· Keeping appropriate records that are retrievable by management
3. Project Management
· Takes responsibility for effective, accurate and timely delivery of services to client
· Designs collaborative client work plans outlining scope, deliverables, and accountabilities Establishes detailed plan outlining deliverables and associated time scales to roll out projects—negotiate timelines and pricing to clients
· Leverages excellent communication and presentation skills to effectively convey persuasive messages to clients
· Utilizes project meetings to ensure continual awareness of client needs and incorporates the information into project plans as appropriate
· Communicates project plan internally as appropriate
· Takes action as needed with internal stakeholders to ensure project plan is on track
· Escalates, as appropriate, risks to project plan that have not been solved through above channels
· Understands and can articulate client concerns/issues/problems and their requirements
· Gives realistic cost and time information
· Ensuring the sample process is effectively and consistently utilized for clients to include overnighting hardcopies, Web archive, and using a Quality Control checklist
· Understands text setup processes and is able to gather the requirements
· Collaborates effectively with the Project Managers to gather all requirements
· Ensures that Change Orders, Trouble Tickets, and New Project tasks are entered appropriately into the DIVDAT Tracking System
· Thoroughly understands the document design process regarding samples, approvals, stock validation, placement of barcodes, windows, envelopes, etc., and that the requirements are adhered to
Administration
· Is computer literate, including in-depth knowledge of Internet, MS Office, etc.
· Maintains up-to-date knowledge of changing technologies
· Proofs own and others’ work to ensure accuracy
· Ensures project materials, client files, etc., are securely stored
· Ensures all work/documents are presented in a presentable and professional manner
· Takes on projects identified to stretch and develop skills and knowledge
· Receiving and reviewing processing reports
· Reviewing print output when changes or new jobs are sent to production
