To meet the needs created by our strategic growth, we are adding a Branch Administrator to our Seattle team!
Position Description:
1. Works with local sales team to update leads in IBM’s Partner World Lead Management database and other sales and marketing lead sources. Supports sales team by: maintaining/editing the contact database/CRM, generating and following-up on weekly lead reports, maintaining adequate marketing collateral supplies, scheduling and documenting meetings, arranging lodging/travel for sales team and out-of-town guests, and following-up on expired software renewals/IBM programs with the client executive. Provides clerical support to the Geo Leader, by auditing budget results, organizing expense reports, etc.
2. Aids with TEC Briefings by performing logistical duties, to include: posting a welcome sign to greet clients, maintaining a supply of MSI folders with predetermined collateral, setting a place for each guest with predetermined supplies, ordering and serving catering and beverages, filing usage forms with Accounting, and cleaning up the TEC facilities after the briefing. Prepares for these duties by printing briefing materials and adding specified collateral to folders and setting up direct catering services.
3. Maintains office environment by handling facilities duties, which could include communication with Property Maintenance Contractor. Maintains and coordinates repair of branch office equipment to include copier, fax, and printer according to maintenance agreements. Organizes, maintains and replenishes inventory of office supplies on a regular basis. Handles other facility duties as assigned by the TEC/Facilities Manager.
4. Answers and screens incoming phone calls directing caller to appropriate person and taking accurate messages if needed. Facilitates communication among branch team members and corporate contacts. Sorts and distributes incoming mail.
5. Assists the Marketing department in the planning and execution of local events including seminars, tradeshow shows, grand openings, and client appreciation events. Assists by researching event locations, coordinating catering, generating name badges, facilitating local awareness and providing pre and post expense and ROI documentation, reports, and summaries as outlined in the expense guidelines. As requested, may set-up and tear down trade show booths and assist with on-site seminar registration/check in.
6. Coordinates facilities administration, tracking and record-keeping for the company.
7. Assists Marketing with direct mail/email list development and mail fulfillment for local campaigns and holiday card mailings. Provides pre and post expense and ROI documentation, reports and summaries as outlined in the expense guidelines.
Key Skills include:
· Daily contact with Territory Marketing Manager and other members of branch team.
· Regular contact with Marketing team regarding upcoming events and/or campaigns.
· Regular contact with Geo Leader and TEC Manager.
· Occasional contact with IT and Employee Services regarding branch needs, new employees, etc.
· Weekly interaction with Practice & Client Executive staff (sales, engineers and VPs) regarding coordination of resources for briefings.
· Occasional interaction with engineers to coordinate equipment refreshes, additions and removals regarding TEC.
· Weekly contact with Property Maintenance Contractor for branch location, various vendors/clients regarding issues/concerns and with AAA Travel regarding travel arrangements.
· Occasional contact with vendors regarding leveraging of resources and co-marketing strategies for briefings.
· Frequent contact with client regarding scheduling of and follow-up on briefing.
