Document Management System Coordinator

SUMMARY DESCRIPTION
Under direct supervision of Information Technology management, performs various records and information management and reprographic production functions; provides a safe and secure storage environment for Washoe County School District records that ensures maximum accessibility for research and reference purposes; ensures work quality and adherence to established policies and procedures including adherence to federal, state and local mandates and recommendations; performs the technical and complex tasks relative to assigned area of responsibility; and analyzes and maintains quality control of microfilming and data imaging operations; and performs related work as required.

EXEMPLARY DUTIES/RESPONSIBILITIES

Has overall responsibility for all microfilming, imaging and records management operations for the School District.

 

Responsible for establishing and maintaining schedules and methods for providing records and information management and reprographics production services; identifies and reviews resource needs with appropriate management staff; allocates resources accordingly.  Prepares microfilm/imaging and records management jobs and formats.  Performs the technical and complex tasks of the work unit including checking, proofreading and coding records, (quality control of microfilming, digital imaging, and processing operations).  Performs microfilm and digital imaging indexing and record processing of all work completed per department.

 

Ensures records and information management functions are performed in compliance with legal requirements regarding utilization, retention, preservation and disposition.  Inspects facilities and associated equipment to ensure safety and proper maintenance; coordinates preventive maintenance programs for records management and reprographic production equipment; calibrates equipment and performs minor repairs and adjustments as necessary.  Responds to questions and inquiries regarding records maintenance programs; advises and assists Washoe County School District staff in determining reprographic production or records and information management needs. Manages and participates in the development and implementation of goals, objectives, policies and priorities for assigned programs; recommends and administers policies and procedures; serves as a technical resource to other members of the applications support staff; and performs related duties and responsibilities as required.

 
EMPLOYMENT STANDARDS

Education/Experience:  Any education and experience that would provide the required knowledge and skills is qualifying.  A typical way to obtain the knowledge and skills would be:

 

1. An Associate’s degree in technology, or completion of an accredited vocational training program related to information technology.

 

AND

 

2. Three (3) years of experience in records management and operating a variety of digital imaging/micrographics equipment, including minimum one year of full time experience in a lead or supervisory capacity; OR an equivalent combination of training and experience operating in a large-scale distributed network environment.  Experience in the K-12 environment is desirable.

 

Knowledge of:  Quality control for microfilm operations; pertinent federal, state, and local laws, rules, regulations, and procedures that apply to records management, retention and disposal; repair and maintenance requirements of microfilm and associated equipment such as film scanners, film writers, document scanner, etc.; principles and practices of budget development and administration; standard office practices and procedures including filing and the operation of standard office equipment; maintenance requirements for SQL database related to software applications and related interfaces between software applications, conversion processes, quality assurance, and data integrity.

 Skill at:  Database maintenance; database performance monitoring and tuning as necessary; troubleshooting database and system problems; analyzing problems and arriving at effective solutions; project management; communicating effectively verbally and in writing, with the ability to articulate complex technical concepts and processes to technology staff as well as end users; understanding interfaces between other software applications; strong data quality analysis skills and strategic analytical skills; writing client and technical documentation; logic application; recognizing repetitive tasks, data inaccuracies, and process flaws, in order to prepare recommendations for enhancement; able to move items weighing as much as fifty (50) pounds; and maintaining effective working relationships with others
