Entry Level - Global Sales Provisioning Coordinator
MessageLabs is a globally operating, messaging security managed services provider. It employs over 500 people across three regions, EMEA, The Americas and APAC. The company is functionally structured into four areas of operation: marketing, sales, operations and finance. Sales is organized into two parts: direct touch sales-people selling through multiple channels, segmented by target company size, location and industry; as well as with a partner team, recruiting, developing, enabling and managing MessageLabs 900 partners. DEPARTMENT: The Sales Support department are the central administrators for all orders placed by the sales team at MessageLabs. Internal and external communication flows through the department to ensure a high level of client experience throughout the sales order process. Sales Support are also responsible for providing data and some degree of analysis for use by Sales, as well as maintaining and supporting MessageLabs’ client database.The role will involve working in a lively and fast-paced Sales environment, working within a small team that interact widely with all areas of the business on a daily basis, and perform a wide range of functions. PURPOSE: To be responsible for managing the processing of all orders for the US sales operations & play an important role in the global order processing team to ensure that all transactions are concluded within the agreed timescales & to liaise with to sales regarding the completion of incorrect orders.To ensure quality & integrity of customer data used throughout the sales cycle is available within the required time scales & in keeping with the company’s overall business objectives.To assist with database management exercises within the CRM system and with the management and presentation of sales performance metrics.To review & assess the active business process & recommend enhancements that would improve the quality or effectiveness of the processes.To support the sales function within the business to ensure that clients experience a high level of service throughout the provisioning of MessageLabs Products.Review of orders and proactively raise awareness of errors, issues and data deficiencies. PRINCIPAL ACCOUNTABILITIES: Ensuring all documentation relating to a sales order is correct; product information, pricing details, discount information and legal contract information. To have a thorough understanding of all Contract Types, and to process accordingly. Ensuring the client services and Finance teams are able to process the customer’s order accurately and according to specified timescales. CRM - Siebel maintenance for sales – checking and updating addresses and client contacts, ensuring all details are accurate, adding registered numbers, addresses, and contact details as necessary. Involvement in data cleansing projects and activities, as well as ad hoc maintenance. Experience with CRM systems, specifically Siebel would be welcome. Reporting – Using Excel & Acquiring experience of Cognos reporting tool to be able to run Sales performance reports & provide graphical representation of data as and when required. Co-ordinating sales systems and documentation to ensure that all information is accurate, visible & reconciled weekly against sales order processing system and that any inconsistencies are accounted for and are amended appropriately including coordination with the Partner Order Processing team. To act as a systems and process ‘superuser’ to support members of the sales team. To regularly provide feedback to the operations team and to ensure the highlighting of potential improvements and accuracy of systems used by sales and sales support teams. Support of the month end closure process working as part of a global team to ensure all sales are accurately booked for financial reporting. PROFILE OF JOB HOLDER: Essential · College graduate with a Bachelor’s degree in a Business related subject · Experience in a sales support role in a sales environment and an understanding of Sales process.· Intermediate level of competency in MS office applications with specific emphasis on Excel.· Previous experience of working in a pressurised environment to strict deadlines, and attention to detail. Desirable · Experience with operating & understanding Customer Relationship Management software.· Experience of using Siebel.· Experience &/or understanding of technical (eMail, Web, IM) environments.
