OVERVIEW:
We are seeking a tenured professional to support executive level management in a fast-paced and growing environment. The Executive Assistant will interact closely and support the CFO and other Executives, while providing varied and complex administrative and project support.
RESPONSIBLITIES:
Exercise independent judgment and personal initiative in performing responsible and specialized administrative and secretarial work of a confidential nature. Take appropriate authorized action in the absence of the CFO and other Executives, to ensure that matters requiring attention are referred to and handled in a manner to minimize the effect of his/her absence. Act as liaison between executives and staff in office matters including meetings, documentation, presentations, travel, and activities requiring authorized action. Manage the CFO and other Executive’s schedules and calendars; arrange board meetings, company meetings, conference calls and appointments. Receive and screen communications to the CFO including telephone calls and e-mail messages, recorded messages, and provide assistance using independent judgment to determine those requiring priority attention. Channel and facilitate communication from customers and associates and redirect callers to appropriate department/field representative for resolution/assistance (employee inquiries and complaints, vendor inquiries, inquiries regarding legal requests, etc…). Receive and distribute incoming mail; review and evaluate mail to identify items requiring priority attention, as well as prep, log and route communications requiring action.Produce letters, reports, bulletins, memoranda and e-mail, including material of a confidential nature. Compose correspondence, reports, presentations, speeches, organization charts, rough drafts, or verbal instructions.Coordinate travel, including air/ground transportation, hotel accommodations, itinerary planning, meeting coordination, and ensure office requirements and facilities at destination are arranged, if required. Prepare and process expense reports. Coordinate off-site meetings (arrange for meeting facilities, caterers, meals, materials, transportation and equipment).Manage personal matters and projects and other office duties as assigned.
QUALIFICATIONS:
· Minimum of 5 years experience in administrative support to executive/managerial level personnel is required.
· Demonstrated expertise with MS Word, Excel and PowerPoint required.
· BA degree or equivalent work experience preferred.
· Bilingual communication skills are preferred (Russian, Cantonese, and/or Mandarin)
· Ability to work independently with a can-do attitude
