Job Description: The Records Lead will ensure that office working paper files and records are accurately entered into the Records Management System, barcode labeled, tracked and securely stored in onsite and offsite storage. The Records Lead is also responsible for fulfilling internal client requests for retrieval of client working papers on a timely basis, and for providing superior service at all times. The Records Lead will be required to use discretion to make decisions and will be required to do trouble-shooting and problem solve. The Records Lead is further expected to serve as a resource to their supervisor to help resolve unusual or highly complex issues. The role requires flexibility around overtime. During the Records Managers’ absence, the Records Lead will be responsible for leading 1- 3 records associates and providing team leadership and direction on daily work. Job Responsibilities: Execute daily records activities as part of the Records team Act as the Primary Records contact which includes providing supervision and direction to Records team in the Records Managers’ absence. Maintenance of the Firm's records database. Maintenance of the inventory stored within the records department, including routine file purges and transfers of files to an offsite storage facility. Management of the Firm's inventory of boxes in an offsite storage facility, including the offsite filing system, box retrieval, box additions and box refiles within the inventory. Management of the annual file destruction and box audit process. Maintenance of supply inventory within the records department. Development of procedures to ensure the highest level of service and accountability. Maintenance of all hard copy files and documents, including permanent, work paper, audit, confirmation, correspondence, tax returns, restricted, research files. Creation of new files and records. Repeatedly lift boxes of up to 50 Ibs. Heavy telephone requests and responses to requests. Preparation of files to be shipped to offsite warehouse. Includes computer input of boxes and content of each box. Each box must be numbered for retrieval purposes. Generate reports from the records database for internal customers Conduct follow with internal customers for return of retrieved items to records department and/or storage. Ensure quality assurance initiatives are being observed at all times. Actively work on procedure refinement. Ensure all logs and tracking tools are used at all times. Communicate pertinent issues to Site Manager. Provide and run reports as requested. Communicate with client on job or deadline issues. Prioritize and monitor work flow. All other duties as assigned. Keeping up to date on industry trends by attending AIM training classes and or affiliation with ARMA. Requirements: Job Requirements: 2-4 year of prior experience in records management, including records management systems, imaging and emerging technologies with B.S. degree, or 5-8 years relevant experience with H.S. diploma. Experience implementing an Electronic Records System is desirable. Excellent verbal and written communication skills. Intermediate computer knowledge preferred. Ability to prioritize and handle multiple tasks. Ability to work in a fast paced environment. Ability to make independent decisions. Excellent organizational skills. Ability to meet deadlines and complete all projects in a timely manner. Ability to handle sensitive and/or confidential materials a must. Must work well in a team environment. Professional attire required. Good problem solving skills. Ability to work overtime as needed. Must be able to work standing up all or most of the time. Professional telephone demeanor. Member of ARMA preferred Ability to travel in the Metro DC area to other offices 1 time per month Ability to travel nationally to other offices once per yearWilliams Lea offers competitive salaries and an excellent benefits package.
