EtQ has an open position for an Administrative Services Assistant in our Farmingdale location.  This position reports to the Professional Services Manager and assists the Professional Services Team by coordinating tasks and communications around implementation projects.  This position will also provide the Implementation Consultants with the information needed so they can communicate effectively with our customers. 

Responsibilities:

Tracking project activity data and checking the database daily to ensure transactions are completed. 

Administrative duties include copying, faxing, printing, filing, opening mail and responding to email inquiries by end of business day.

Arrange travel for the implementation team.Assist the implementation team in scheduling meetings (via Lotus Notes calendar and e-mail). Attend and prepare minutes for initial installation meetings, implementation meetings, pre-migration meetings, and pre-validation meetings. Notify the implementation team to quote customers and follow up on the approval of those quotes. Work with the implementation team to ensure that billing and expense reports are submitted on a timely basis. Responsible for completing project activities assigned by the Implementation team. Assist the Professional Services Manager to schedule the initial activities leading to the Implementation Teams onsite visit.

Knowledge, Skills, and Abilities Required:

- Ability to perform typing duties

- Ability to create, compose, and edit written materials

- Ability to follow instructions and procedures

- Must be highly professional and flexible.

- Ability to clearly and succinctly convey information both verbally and in writing

- Advanced knowledge of Microsoft Word, Excel and Powerpoint required
