The CS serves the information and career-development needs of today’s computing researchers and practitioners with technical journals, magazines, conferences, books, conference publications, and online courses. Its Certified Software Development Professional (CSDP) program for mid-career professionals and Certified Software Development Associate (CSDA) credential for recent college graduates confirm the skill and knowledge of those working in the field. The CS Digital Library (CSDL) is an excellent research tool, containing more than 250,000 articles from 1,600 conference proceedings and to all available issues of 26 CS periodicals.
With about 40 percent of its members living and working outside the United States, the CS fosters international communication, cooperation, and information exchange. To meet the needs of our members conveniently and efficiently, the Society maintains a service center office in Tokyo, Japan; a publications office in Los Alamitos, California; and its headquarters in Washington, DC.
The Administrative Assistant will help execute all financial analysis activities associated with the IEEE Computer Society’s sponsored and co-sponsored conferences. He/she operates within IEEE policy and financial regulations.
Responsibilities also include:
* Collects and reviews conference bills and assigns proper conference code
* Helps prepare agenda book reports including summary of final reports, list of approved meetings, and a list of overdue final reports
* Maintains department conference codes list, and other schedules
* Follows up with conference organizers for final report collection (at different phases after meeting is approved)
* Collects all IEEE required forms (insurance, signature cards, tax, etc)
* Offers support in portfolio analysis information tracking
* Helps update TMRF Handbook
* Helps document department policies and procedures related to accounting and finance practices
* Helps with detailed budget review in CT Review phase
* Coordinates final report collection with cosponsoring organizations
* Process and track conference loans issued and their re-payment
* Collecting and forwarding of Audit materials to IEEE (when required)
* Prepare and submit Journal Entries, Accrual, Accrual reversal, and reclassification reports for conferences
Qualifications:
* Training in basic accounting, business administration, or finance is required.
* Must have a minimum of three years administrative support experience.
* Must be a technologically savvy worker who seeks out technology solutions to business challenges.
