Consulting Administration Manager

Savvion is seeking to hire a Consulting Administration Manager in our Santa Clara, California headquarters reporting directly to the VP of Processional Services.

Responsibilities:

The Consulting Administration Manager position requires an energetic, reliable person with great organizational and people centered skills. Specific responsibilities include the following:

1) Assist with management of the Professional Services Scope-of-Work (SOW) process

a. Maintain templates and repository

b. Assign and Track SOW numbers

c. Coordinate reviews and approvals

d. Update bookings worksheet

 

2) Budget tracking and reporting by project

a. Ensure POs are received for all approved SOWs

b. Track services and expenses against the PO; escalate when required

 

3) Time tracking and reporting

a. Record time for all projects on tracking spreadsheet

b. Track and report on utilization by consultant

 

4) Invoice tracking and reporting

a. Review & approve subcontractor invoices for accuracy

b. Review & approve client invoices for accuracy

c. Track invoice payment status by coordinating with Finance

 

5) Subcontractor contract administration

a. Create work orders

 

6) Maintain consulting directory & staffing log

 

7) Assist Finance Dept

a. Provide month end accruals for missing subcontractor time and expense invoices

b. Assist with collections of client invoices as necessary

c. Assist with gathering information for audits

 

8) Coordinate Training

a. Maintain training schedule

b. Coordinate logistics for training classes held onsite and offsite

c. Follow up on leads

d. Market training courses

e. Order training materials as necessary

 

9) Travel

a. Coordinate travel for PS consultants

 

Requisite Skills:

Associate or Bachelor’s degree in Management or Finance

Proficient with Microsoft Office to include Word, Excel, PowerPoint, Outlook

Extremely organized and diligent

Excellent people centered skills with a strong focus towards customer service
Experience with operations in a Professional services organization
