Office Manager

Overview:

Reporting to the Acting President, the Office Manager will coordinate the day to day operations of the office. The office manager will greet vendors, customers, job applicants and other visitors and will perform routine office admin duties for the office services & facilities department.

 
Duties: Accept, schedule and track local postal and courier deliveries and distribute to employeesCoordinate staff meetings and order cateringSpot check boardroom neatness and tidiness after meetingsOrders office supplies and lunchroom supplies; maintain inventory Coordinate all facilities routine maintenance requestsAssist new employees by providing them with new employee items and documentsGather computer, security pass and other items from employees who are departingAnswer calls, do expense reports and make travel arrangements for the Acting PresidentAssist with event planning as needed for the Sales and Marketing Conferences and the Holiday PartyCoordinate/assist with travel arrangements for Sales TeamPhotocopying and filing as neededLiase with the Ottawa office manager as needed Perform other duties as required


Qualifications High school graduateWarm, happy, friendly, immaculately presented and articulateFosters a team environmentProficiency in Microsoft Office word processing, spreadsheets, Internet and presentation software (Word, Excel, PowerPoint and Outlook)Professional communication, customer service, organizational and planning skillsDemonstrated initiative and ability to multi-task in a fast-paced environmentExecutes all duties and responsibilities with follow-through, professionalism and attention to detailPossesses proven problem-solving skills to assess issues and develop solutions

 
Experience 3-5 years of experience in the field or in a related areaDemonstrated skills and abilities in collaborative efforts with experience in team/project oriented activitiesExcellent planning and time management skillsStrong understanding and appreciation of a diverse work environmentAbility to relate well to people and work in cooperation with others to effectively coordinate activities in order to accomplish tasksDemonstrated ability to act independently upon information and make decisions that achieve optimal results
