Office Manager / Receptionist

Macrovision Corporation (Macrovision) provides digital lifecycle value management solutions that enable the delivery and enhanced use of software and content. The Company solutions include anti-piracy and content protection technologies and services, digital rights management, embedded licensing technologies, usage monitoring for enterprises, and related technologies and services from installation to update to back-office entitlement management. It markets the FLEXnet licensing platform and the InstallShield suite of software installation, repackaging, and update solutions. The Company also operates Trymedia Systems, a distribution network for downloadable personal computer (PC) games. It develops and markets an array of digital lifecycle value management technologies for three distinct customer groups: Entertainment and Content Producers and Distributors, Software Publishers, and EnterpriseEnd Users.

Duties to include but not limited to:

Reception duties which include and limited to answering of main phone lines, transferring of customer calls, greeting customer and visitors.


- Manage and monitor Facility and Operations processes, budgets and policies to meet business objectives of Macrovision and Facilities.
- Manage SF office facilities projects: plan, schedule, and coordinate, including evaluation and management of external vendor's services not limited to (plant, food, copier, vending, extinguisher, first aid, janitorial, furniture, and security).
- The scope includes but is not limited to, security, facilities maintenance, preventative maintenance, shipping/receiving, mail, ergonomic evaluations, Liaison between landlord and site, and work order management,
- Administration of all Facilities contract services, for all building and facilities equipment
- Lead appropriate space planning and internal moves for SF office.
- Ensure prompt response to onsite customer needs and work request for all service needs.
- Implement appropriate proactive building maintenance and any environmental, health, and safety programs in conjunction with Human Resources.
- A balance part of office support and corporate overviews to support the site as a satellite location.
- Coordinate's site functions and events.
- ERT coordinator for SF office.
- Will manage P.O. and invoicing for Facilities vendors at SF Office, as well as manage the appropriate billing to invoicing for the site.
- Oversee plans for airport and hotels services as needed


Responsibilities:


- Answering main phone lines and transferring calls.
- Plan daily work activities for administrative support to facilities management, human resources management and misc. office accounting.
- Will be the onsite contact for all building and company vendors.
- Work with other departments such as Accounting, Accounts Payable, Marketing & Sales for misc. needs.


Qualifications, Education and Experience:




Required:


- High School Diploma and 3+ years related experience.
- Basic working knowledge of Microsoft Windows/Excel
- General computer knowledge
- Must have great communication skills
- Vendor Management


Desired:


- Working knowledge of CAD
- Construction blue print reading skills.
- Security Access Systems knowledge
- Team player personality
