Opportunity Overview:
As a Receptionist / Administrative Assistant, you'll keep front office operations and activities organized and moving forward. Using your strong communication skills, you'll effectively collaborate with a variety of people and job functions, accomplishing tasks of moderate to high complexity and scope. When circumstances demand, you'll provide support such as corporate expense reporting or resolving minor operational issues with your manager's guidance. Additionally, you'll be interacting with all employees and our customers, which means you will have the ability to perform professionally in a fast-paced environment along with the grace and willingness to change direction when circumstances demand. You'll be expected to demonstrate strong communication, professional etiquette and organizational skills.
Core Deliverables and Responsibilities:Receive and direct incoming calls Greet all incoming visitors and Noetix staff in a professional and courteous manner Control inventory, ordering and stocking of office and kitchen supplies Sort, screen, review, and distribute incoming and outgoing mail, packages and faxesManage daily deliveries both incoming and outgoing Run postage machine for outgoing mail Assist in scheduling and coordinating various meetings, events, and/or other similar activities which may include coordinating travel and lodging arrangementsCoordinate Board of Directors planning meetings, communication and pre-meeting materialsAct as the travel liaison with hotel and airline representatives Establish, maintain, and update files, databases, records, and/or other documents for various departmentsRespond to a variety of routine inquiries Assist various teams with organizing and processing corporate expense reportsCoordinate copying and filing jobs for departments as needed Provide backup to Facilities ManagerOther duties as assigned
Position Qualifications:2 -3 years experience working as a Receptionist /Administrative Assistant is required Strong administrative, time management, and follow-through skills Experience with Microsoft Office applications, specifically in Excel is desiredSelf-directed, highly organized, and detail oriented Knowledge of office supplies, equipment, and/or services ordering and inventory control responsibility Demonstrated ability to create and edit written materials including company-wide emails and presentationsDemonstrated problem solving ability Ability to make administrative/procedural decisions and judgments Ability to effectively communicate and collaborate with a diverse range of people and job functionsSuccessful experience answering a multi-line phone system and directing calls in a front office settingStrong customer service ethic and commitment to teamworkMust possess professional appearance and presentationMust be prompt and dependable Ability to lift up to 20 lbs.
Education / Training / Certification:A minimum of an Associates Degree is required
