Summary:
An individual with strong organizational and administrative skills to provide general administrative support. A unique responsibility of making a good first impression, which can impact the success of the company for a long time. Typically they are the first line of employees that visitors interact with, so they must be friendly, professional, and helpful to the visitors.
Responsibilities:Operate multi-line telephone console to receive, screen, and direct, if appropriate, all incoming messages. Takes and forwards messages as necessaryReceive visitors, secures names and determine nature of business and appropriately direct visitors to destination following company security proceduresSchedule and facilitate all internal conference room usage; assist in coordinating two marketing customer demo conference roomsMay assist in meeting planning (which may include catering and travel arrangements) for trainings, internal meetings, customer demos, company meetings and eventsResponsible for ordering and proofing thoroughly all stationary and business cards, as needed, for all domestic employeesDistribute all domestic expense checks, mailing, when appropriatePrepare outgoing courier mail when appropriateOrganize meetings/interviewsSupport office leaders in administrative tasks including the preparation of memos, correspondence, reports, and other documents as needed; copies and files as neededPerform all other position related duties needed or assigned or requested to ensure the smooth operation of the corporationEnsuring that the workflow of this reception area runs smoothlyMaintain phone lists and files
Education and Experience Requirements:Minimum of high school diplomaMinimum two-three years experience of related administrative support experience and/or training; or an equivalent combination of education and business experience
Knowledge and Skill Requirements:Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint and, particularly, Outlook) and general MS Windows operationsA high degree of professionalism in both written and verbal communicationPositive, can-do attitudeCustomer / Client focusedAbility to multi-task, meet deadlines, work independently, and take initiativesAbility to write and interpret routine and general business correspondenceAbility to maintain strict confidentialitAbility to respond professionally and appropriately on behalf of executive management and all other employees to common inquiries or complaints from customers, co-workers, and executive business associatesRequires an individual with exceptional communication skills, phone manner and high level of professionalism to appropriately represent the company in all situations
