SALES & OPERATIONS REPRESENTATIVE for an Interactive Entertainment Software Company

Based in Los Angeles, D3Publisher of America distributes and publishes software for personal computers and the major console platforms, including Nintendo GameCube™, Nintendo DS, PlayStation® Portable, PlayStation®2 and PlayStation®3 computer entertainment systems, and the Xbox®360 video game system from Microsoft.

 

Under the general supervision of the Director, Sales and Operations Administration, the Sales and Operations Support Representative performs customer service functions for the United States retail and distribution customer accounts in relation to order processing.

 Essential Duties and Responsibilities:

· Responsible for the transmission and coordination of shipments with our third party distribution facility, Ditan Distribution.

· Responsible for data entry into the Great Plains accounting system of sales orders, order inventory allocations and customer invoicing.

· Responsible for tracking and importation into Great Plains of Electronic Data Interchange (EDI data) in which D3Publisher’s customers currently transmit to Ditan directly. Going forward into Fiscal 2008; EDI customers will move to the transmission of data directly to D3Publisher and in turn the representatives will be responsible for the monitoring and the processing of EDI transmissions (to the customer and to Ditan) via internal in-house EDI systems.

· Responsible for communications with the Accounting department on Cash in Advance customers and the coordination of in-house orders awaiting payments and confirmations of payment receipt.

· Work directly with D3Publisher’s internal sales directors and D3Publisher’s external sales representative organizations.

· Main contact to the representatives of order related questions such as dates of shipments, order tracking, and order quantities.

· Maintain communications with the sales representative organizations.

· Responsible for sending weekly order tracking reports, open order reports prior to the release of new products and monthly invoicing reports to each of the external groups.

· Responsible for administrative duties to support the internal sales directors with such tasks as buyer and external sales representative mailings.

· Responsible for release of new products including tracking in house open orders for the product and communicating order specifics (i.e. quantity, shipment method, ship windows) to the appropriate sales contacts.

· Coordinate with Ditan on the shipment plan for the new release product to ensure that customer locations receive the product on expected dates.

· Responsible for specific accounts and have knowledge base of customer shipment requirements and standards.

· Responsible to follow up with Ditan on customer routing guides (shipment guidelines) and use of customer specific website access databases.

· Responsible for maintenance in the Great Plains system of customer information such as addresses and contacts.

· Responsible to investigate shipping claims and to follow up with D3Publisher’s customer collection company (VWA).

Qualifications/Requirements:

 

EDUCATION:

· Associate of Arts/Science (A.A./A.S.) degree is preferred or equivalent.

 

EXPERIENCE:

· Three (3) years or more experience within a corporate Sales and Operations department

 

FIELD-OF-EXPERTISE:

· Relevant sales and operations experience in gaming, consumer packaged goods, and/or entertainment industries.

· Sales orders, order inventory, and customer invoicing

HARDWARE/SOFTWARE EXPERIENCE:

· Windows 2000 and up, MS Exchange a plus.

· Proficient with Microsoft Office Suite

· Great Plains Accounting System
