Specialist, Marketing Communications

Summary of Duties:  The Specialist, Marketing Communications’ primary responsibilities include writing and delivering all marketing communications messages for distribution internally and externally.  Vehicles include electronic messages (e-mail, Service Bulletins, Release Notices, Behind the Screens, marketing content on websites/portals, Vertical Response e-mails and FTP messages to specific groups) and printed collateral (Product Sheets, direct mail, IntelliTax News).  This person also writes marketing project plans and process documents as assigned by the department Director; creates Strategic Provider materials for Sales use; monitors project budgets; establishes and maintains needed contacts; develops communication schedules and assignments and works in concert with the Marketing Team. Tasks include interdepartmental interface and vendor coordination.

 

Specifics include:

• Develop and maintain updates on all Product Sheets and other needed product/sales collateral, both hardcopy and softcopy versions, working in conjunction with the Marketing Coordinator.

 

• Write and edit articles for production of the internal employee quarterly e-newsletter and supervising provide to the Marketing Coordinator for layout.  Proof layout prior to distribution.

• Coordinate production of quarterly printed customer newsletter, including coordinating printing and mailing bids and creation of POs, soliciting articles, editing and writing needed content, supervising layout by graphic artist, proofing, supervising and coordinating the project with printing vendor to ensure timely delivery and reviewing invoices.

•  Coordinate electronic promotional messaging by writing and formatting scheduled/approved messages for distribution through Vertical Response, working with the Marketing Data and Information Manager to coordinate delivery.

• Review intellitax.com, Customer Portal and Business Tools Portal web content regularly and provide updated text/photos to web managers as needed, make content changes as Admin Tool allows, then promptly follow-up to confirm/proof content to ensure it is presented as needed and in a timely manner.

• Travel to trade shows and on-location trainings if the Events Coordinator is unable to fulfill the commitment.
• Work with department Director to develop and implement strategic and tactical marketing communication plans and ensure budgets and deadlines are met.

• Work with vendors: defining scope of work, acquiring project estimates, reviewing contracts, supervising tasks; reviewing budgets/billing.
• Create and follow strict timelines, identifying deviations and potential solutions in a timely manner.

•  Update the Marketing Team regularly, keeping them informed regarding project progress or barriers.

•  Monitor Mr. Notifications mailbox, deleting ‘bounce’ messages and replying to customers’ questions with an auto-reply template. Maintain updated list of bad e-mail addresses.
