Sr. Administrative Assistant
Position Description:

Real provides the universal platform for the delivery of any digital media from any point of origin, across virtually any network, to any person on any Internet-enabled device, anywhere in the world.Looking to hire an exceptional individual to provide secondary support to the office of the CEO. This would include supporting the CEO’s Executive assistant and providing back-up support to the CEO. This position may provide support to various strategic advisors and handle primary administrative tasks for the executive office; handle administrative projects and on-going assignments for the Executive Assistant and CEO, work closely with Executive Assistant to coordinate travel arrangements and travel itinerary, and interact professionally with employees, customers, and partners. Other duties include: phones, mail database, lunches, reconcile expenses, making copies, faxing, organize magazines, order supplies, feed fish, park car, general office organization and other duties as assigned. The person in this position must be very organized, detail oriented, resourceful, able to prioritize and multitask and able to work well under pressure and deal with ever changing circumstances while handling highly confidential information. Accuracy and attention to detail a must. We are looking for someone with strong communication skills, quick learning ability, experience working with board of directors or dignitaries a plus, and at least 2 years senior-level administrative experience, preferably in a fast-paced environment. Must be willing to work overtime as needed. Computer skills: Windows XP, MS office, Power Point and Excel, and Internet knowledge required.Essential Functions:1. Handle all incoming correspondence and phone calls as relates to CEO’s office (interacting with board of directors, employees, customers, dignitaries and partners). Responsible for updating mail and phone call database. Also track and update out of office database for company VPs and continually update officers and assistants contact information as well as track CEO’s 1x1 schedule. - 30% of Time2. Provide support to CEO’s Executive Assistant with backup support to the CEO and may provide support to strategic advisors with possible backup to other VPs as required. Help maintain CEOs daily schedule and make changes as requested, along with other duties for the executive office or company as assigned. - 30% of Time3. Handle various administrative tasks: filing, making copies, faxing, etc. and office maintenance (i.e. order supplies, coordinate magazines & newspapers, reconcile expenses, order lunches, feed fish, park car) and other duties as assigned. - 20% of Time4. Travel coordination, scheduling and composition of in-depth travel itineraries for CEO. - 20% of TimeKnowledge, Skills, and Abilities:Minimum:• The person in this position must demonstrate superior organization skills• Must be able to prioritize and multitask and able to work well under pressure and deal with changing circumstances. • Strong communication and interpersonal skills, ACCURACY and quick learning ability required. • Must be willing to work overtime as needed (minimum 4 hours per week).• Display professional demeanor with other executive staff, employees, customers, partners and board of directors.• Excellent phone and customer service skills.• Must be able to work independently and under minimal supervision. • Strong problem solving skills and the ability to pay close ATTENTION TO DETAIL required. Preferred:• Strong typing and advanced personal computer skills Education, Certification, and/or Training:Minimum:• Computer skills needed include Windows XP, MS office, Power Point and Excel.• BA/BS degree or equivalent• Proofreading skills and advanced understanding of correct English grammar.• Project Management skillsMinimum Experience:• At least 2+ yrs Administrative experience in a fast-paced, high-tech industry and Internet knowledge required.• Experience with appropriate handling of sensitive/confidential information.• Experience supporting multiple people• Experience working in fast-paced environment• Experience streamlining process and refining support strategies.• Experience with high-stress environment.
