Maintain appropriate records and complete financial analysis to fulfill the accounting aspects of lease administration.Essential Duties and Responsibilities include the following. Other duties may be assigned.To read and interpret leases, complete abstracts, maintain lease summaries, recurring payments spreadsheets and pending items reports, and maintain property lease files according to established standard. Ensure client compliance with the terms of their leasesOngoing maintenance of database of lease information and abstracts upon the occurrence of amendments, new locations, expirations, etc.Create and distribute critical date ticklers on a monthly basis for tracking dates of lease expirations, option notices, rent increases, and insurance expirations, to ensure compliance with the terms of the leases.Handle all written correspondence and follow-up for any of the events determined through the tickler system noted in the key function above, according to procedures established with clients.Complete review and approval of any invoices received from landlords for rent increases and and full analysis of charge-backs where the client is the tenant. Handle landlord communication where charges need to be challenged.Work with clients’ accounting departments to maintain easily accessible records for operating expense and/or work order charge-backs, and handle all calculations and tenant communication for charge-backs, along with necessary follow-up, where the client is the landlord.Create and maintain up-to-date lease administration procedures for each client.Responsible for invoicing rent and operating expenses to clients’ tenants and subtenants, and the reconciliation of property accounts. Correspond with all tenants to obtain any missing insurance certificates, and maintain tracking system of same.Additionally responsible for the compilation, analysis and reporting of facility data.Other property administrator and administrative assistant duties as assigned.Qualifications3 years commercial lease administration, or 3 years working with and interpreting commercial leases.
