Facilities Coordinator (Office Services Coordinatior)
Purpose of this position: To carry out the day-to-day operational support activities of a TriZetto Facility, with an emphasis on outstanding customer service. Functions/Responsibilities: • Follow through on all facilities related requests. Properly track all requests through online ticket system. • Ensure conference rooms are neat and organized, ensure dry erase boards are clean and chairs properly organized. • Ensure all office equipment is working properly (copiers, printers, postage machine, video conference equipment, etc). Order supplies as needed. • Lead local space allocations. Assist in executing Move, Add or Change activities. • Maintain productive working relationship with landlord. • Coordinate and supervise all vendor work being performed on-site. • Perform light maintenance activities: Minor furniture repair, hang boards, arrange conference room furniture for meetings, change lights, minor plumbing repair, etc. • Obtain building badges for new employees and work with TriZetto’s security director for employee’s space badges. • Maintain all kitchen supplies. Ensure that all kitchen areas are clean and well stocked. • Maintain all office supplies. Keep supply closet filled with standard items. Order specific items for employees with properly approval and coding • Perform routine checks on the air environment (server room, offices, etc) • Manage in-bound and out-bound USPS mail, DHL and accountable mail services. • Perform Fire Marshal responsibilities. Organize evacuation drill twice a year. Ensure safety procedures and material are available (fire extinguisher, first aid, etc). • Ensure cost management of facilities expenses for the site. Review expenses/invoices and prepare authorization documents for approval. • Update floor plan when needed. Distribute to appropriate parties. • Provide coverage to reception during breaks and lunch hour. • Assist with organizing large in-house events (ordering and setting up meals, preparing outside copy jobs, etc). • Other duties as site-specific needs dictate. Requirements • Must be able to operate effectively with minimal direct supervision. • Manager customer service expectations, while keeping with facilities guidelines and standards. • Balance multiple priorities, adjusting as new situations dictate. Qualifications: • Prior office administration and customer service experience • Background in facilities operations, minor construction and furniture installation • Consistent professional appearance and manner • Good oral and written communication skills • Good interpersonal skills • Must be able to fill 50 pounds • Intermediate skill level with desktop computers, Microsoft Office Suite We recognize that our employees are our greatest assets and want each one to have a long, successful career at TriZetto.
