Office Administrator / Experienced Project Coordinator
Experienced Administrative Assistant/Project Administrator needed for a medium sized General Contracting Corporation in Baltimore Md.
Work and Experience Requirements:
A minimum of 5 yrs of experience in the construction industry, preferably with a commercial contractor. Must have experience generating, processing and administering standard construction correspondence such as: RFP's, Change Orders, Extra's, AIA contract Doc's and Invoices, Transmittal Sheets, Material Submittal Information sheets, ETC. Those experienced with City, County and State Municipalities are strongly favored. Must be very dependable and trustworthy. Position will be full time, with occasional overtime. Schedule has some flexibility, but for the most part will need to be during normal business hours.
Skills and Training:
Must be proficient in computer use and software applications. A strong command of Microsoft Outlook, Excel, Word, Timberline Project Manager, Quantum, and WordPerfect is essential. Ability to properly route and handle correspondence. Organized filing is a must, with attention to detail. General knowledge of accounting and billing procedures, with strong general math skills. Ability to assign proper priority to multiple tasks and efficiently manage their time. Must have excellent grammar, and strong writing skills for preparing business letters, including proficiency in typing.
Qualities and Attributes:
Professional presentation both on the phone and in the office are essential. Candidates should be strong, quick thinking self starters and self managers, but also be capable of working as a team with others to accomplish overall goals. An energetic and positive attitude is also favored. Solid dependability is a must. Candidates should be detail oriented, but able to manage large tasks and have high productivity. Highly organized and excellent personal time management. Candidate should be structured enough to handle routine tasks efficiently but also flexible enough to handle different types of projects and customer requirements. Must be able to work well under high pressure and perform accurately in stressful situations such as bid submissions. Good problem solving skills are very helpful. Ability to maintain a mental awareness of the status of current and past tasks and projects that one is involved in.
Duties and Responsibilities:
New employee will be responsible for all tasks associated with project and general office administration, including but not limited to: bid document acquisition, dissemination of RFP's to appropriate subcontractors, document duplication, collection of subcontractor pricing, bid document preparation, contract document preparation, change order correspondence, invoice preparation, general project correspondence, project data entry, general office administration, supply ordering, PO tracking, Data entry, correspondence routing, and file archiving.
