Project Assistant

We seek someone with 5-7 years civil or electrical construction support experience or equivalent, able to work independently with limited supervision, and experience specifically with construction processes and procedures (RFI, RFQ, Submittal, Change Order, etc).
Job Description:
• Prepare Contract Documents and Scopes of Work.
• Prepare Change Orders to existing contracts.
• Prepare and Process Bid packages and Requests for Bids.
• Prepare/Develop spreadsheets as required.
• Assist with Project set-up (filing, binders, drawings, contracts).
• Attend and contribute to meetings in preparation of new projects.
• Contact, brief and collect information from potential subcontractors.
• Work with Estimator to develop strategy for collection of Bids in preparation for deadlines.
• Provides advanced administrative and project support services to a group of professionals and management personnel. Some work may be of a proprietary or confidential nature.
• Requires advanced secretarial, administrative skills and will require some decisions based upon independent judgment.
• Will need to work effectively as a team employee.
• Able to effectively multi-task and handle large amounts of information effectively and efficiently.
• Advanced secretarial and administrative skills required.
• Advanced personal computer and software as required for the functional area and specified by the company, including Word, Excel, and PowerPoint.
• The ability to edit non-technical reports and presentations is desired, but not required.
• In depth knowledge of standard procedures, practices, and techniques in an office setting required.
• Familiarity/knowledge of internet/intranet required.
• Knowledge of copy machines, fax machines and scanners required.
• Expected to utilize independent judgment to adapt practices, procedures and techniques as required.
• Duties and tasks are frequently non-routine including the preparation of reports, correspondence, presentations, letters, RFQ’s, online proofing and formatting.
- Collects, compiles and analyzes moderately complex information and data routinely or upon request.
- Prepares routine or recurring reports for management review or action.
- Arrange/Attend project development meetings and transcribe minutes.
- Will provide back-up support to other administrative staff.
- Sets up project binders, forms, spreadsheets and files.
- Maintains project files, prepares files, records and documents for archiving.
- Assists in resolving problems and questions for new and existing projects.
- Assists the Estimating personnel with preparing reports, presentations and correspondence of a nonstandard nature.
- Track project and subcontractor Contracts and Change Orders.
- Assist in the processing of RFIs, RFQs and Change Orders
• Hours: Minimum 8:00am to 5:00pm
• Experience: 5-7 years of applicable experience preferred
• Helpful Skills: Microsoft Excel; Powerpoint; RFQ/RFP Request for Quote
