Property Manager

Job Requirements:

Purpose: To perform professional and supervisory work in the management of the companies commercial real-estate properties.  

The individual will act as the Property Manager and all the duties associated with the position on a designated portfolio of buildings owned and managed by Knightsbridge Properties Corp. The Property Manager must have patience, a professional image, excellent communication and management skills. Demonstrate communication skills by listening effectively, transmitting accurate information and actively seeking feedback. The Company requires a self-directed and proactive person who is able to work independently with broad guidelines.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required

Functional Areas:Ultimate responsibility for the overall success of the property management team while maintaining a level of attention to detail, and the monitoring and adherence to company standards at all times.Perform regular field inspections of managed properties.Advise on maintenance strategy including preventive maintenance, capital improvement, security and emergency plans for each property, and execute maintenance plan.Collaborate with all internal company depts., outside agencies (i.e. fire dept, building dept), legal counsel, architect and engineers to accomplish tasks and responsibilities.Enforce all tenant lease provisions, policies and procedures.Facilitate the Property Management & Leasing department monthly meeting agenda.Responsible for enforcing the purchasing authorizations for the dept.Oversee lease negotiations and activities of the portfolio.Meet overall Company goals in relation to quality, and delivery of services.Perform all other assignments/tasks that are assigned by supervisors or others which are not covered in this job description and which the individual could reasonably be expected to perform.

Building Code Management:Coordinate the bringing up to code, repair, and maintenance of property and building systems.Review all building violations with the Property Management team to ensure compliance with codes.Develop strategies and preventative measures both internally and externally for each building in the mangers portfolio.Author all building contingency plans, as they relate to emergency situations.

 

Building Maintenance: Develop vendor bid procedures; negotiate with vendors for service contracts.Maintain cleanliness of assigned managed properties.Approve building service contracts and repairs.Develop and execute maintenance plan.

Fiscal Responsibilities:Work with the Controller to develop and monitor annual operating budgets and plans for each designated building inside managed portfolio.Perform regular property management accounting on computerized accounting system, including preparing monthly variance reports.Delegate the input of vendor payables and receivables (rent) to either the Assistant Property Manager or the Department Administrative Assistant.Oversee the monthly tenant billing procedures.Maintain in detail the aged receivables report in the Company tracking system.Authorize building repairs, maintenance and supplies based on approved purchasing policy.

Marketing/ Tenant Services:Oversee leasing of assigned building’s vacant office space.Customer Service representative to selected portfolio’s tenant roster. Must maintain good customer service and marketing skills, to maintain tenant relations.Must be able to travel between sites to provide effective property management services on a regular basis.Must be available by telephone and/or pager to respond to building/tenant emergencies on a 24 hour, on-call basis.Responsible for overall appearance and customer satisfaction of all buildings.Develop new strategies for revenue building by presenting Knightsbridge Properties Corp products and services to the tenant roster.Testify at tenant and or vendor legal proceedings.Retain architects to design floor plans and develop construction document for tenant build-outs.

Projects w/ Construction Dept: Work with Construction Dept. towards successful completion of both tenant build-outs and renewal improvements.Develop new strategies for revenue building by presenting Knightsbridge Properties Corp construction service to tenant roster.

 

Supervisory Role:Delegate the purchasing of maintenance supplies and equipment to the Department Administrative Assistant.Supervise / establish work standards for the buildings Maintenance staff, Assistant Property Manager and the Department Administrative Assistant; including: creating a positive work environment, setting priorities with work flow, hiring, promotion and disciplinary recommendations.Conduct the annual performance reviews of all Property Management staff under the direction of the Human Resources Department.Conduct regular staff meetings to ensure departmental continuity.Provide for training of employees in both improper and safe work methods and procedures.Work closely with the HR dept to author and maintain the Property Management departmental “Policies and Procedure Manual” to ensure continuity within the department and the team.Record all performance notices, sign time off requests in the eservices HRIS system as it relates to the Property Management Dept subordinates.

 

Requirements:

 

Education & Experience Requirements An undergraduate degree with 5+ years of real estate experience in Property Management Required.

 

Knowledge Requirements:Knowledge of building systems.Knowledge of principles and practices related to commercial leases.Knowledge of accepted personnel, supervisory and management practicesKnowledge of financial principles and practices as they relate to budgets/variance reporting Knowledge of vendor negotiation methods.

 

Skill Requirements: Strong analytic and quantitative skills.Skill in supervising the work of subordinates.Skill in summarizing data and preparing clear concise written reports and correspondences.

 

Ability Requirements: Ability to plan, prioritize, coordinate, and manage multiple properties.Highly organized, developed, and practiced attention to detail.High level of initiative with a strong work ethic and the ability to work well under pressure.Outlook, Microsoft Excel, Microsoft Word preferred Yardi experience.

Must have Valid NY drivers license, own vehicle and insurance.5 +Years of commercial real estate experience in property management.

Physical demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of the job, dexterity in using a telephone, computer keyboard and mouse, and calculator while seated at a desk is required. The employee is frequently required to stand, walk, sit and stoop. The employee must regularly lift and/or move up to 15 pounds and occasionally lift and/or move up to 30 pounds. The employee must frequently travel between building sites and must be able to move around the properties to conduct inspections and meet with tenants and people hired to service the buildings. Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus.

Work environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is required to work in an office environment, and the noise level is usually quiet to moderate. The employee is also required to move around assigned properties to conduct inspections and monitor the buildings.
