CITY/STATE: Houston, TXPOSITION TYPE: Full Time, EmployeeJOB CATEGORY: Administrative/ClericalEDUCATION LEVEL: High School or equivalentSALARY: 13.00 - 14.00 USD /hourREFERENCE CODE: Receptionist Accounts Payable Receptionist Accounts payable Job DescriptionReceptionist/Service Accounts Payable Reception Duties· Answer incoming calls in polite/professional manner and direct to appropriate Partner.· Welcome and greet guests coming into the front lobby.· Contact appropriate Partners for incoming guests.· Act as “Gate Keeper” to make sure Partners come up to get their guests/vendors and ensure non-Industries people are not roaming the hallways unattended.· After vendors have signed in, direct them to the Vendor Room.· Receive, sort, date stamp, and distribute all mail into appropriate Partner mailboxes. Maintain and/or update boxes as Partners are hired on or leave.· Be aware of recruiter phone calls and direct them to the People Department.· Hand out job applications, assist applicants with questions, and review to make sure all sections and required forms have been completed. · Assist HR Generalist with training class lunch orders when necessary. · Sort out all training fliers and brochures, keeping only one copy of each. Service Accounts Payable Duties· Research invoices for PO#. If you cannot find PO#, give invoice to Diane or April to get PO# processed. · Do not pay service invoices without a PO# unless authorized by Diane or Carol.· Pay all invoices timely (i.e. all invoices for September should be paid by EOM deadline 10/05/04)· Research statements monthly. Request copies of all invoices not paid and process for payment. · Answer all inquiries from vendors.· Send vendor set-up form, insurance requirements, and tax-exempt form when applicable. (when setting up new vendor)· Complete PO whenever the wrong vendor is keyed. Put notes when keying invoice and also in PO to cross reference error. Qualifications:Bilingual (English/Spanish) preferredMust be able to multi-task and work in a fast-paced environment. Must have excellent verbal communication skills and phone etiquette.
