Site Administrative Assistant (Ft. Jackson)

Tetra Tech Facilities Construction (TtFC), a division of Tetra Tech, Inc., is a vertical construction entity devoted to providing sound estimating, scheduling, project and construction management services. We have the expertise to take a project from design through closeout. Our mission is to provide solidly constructed facilities, safely, on-time, and on-budget. We seek a driven, capable Site Administrative Assistant for our Southeast Region business unit. Candidate’s first assignment will be in a field office serving our construction project at Ft. Jackson. The successful candidate will ensure that all office services and facilities within our field office are available and running efficiently. Candidate will directly support Project Manager and site staff providing them with direct administrative support including assistance in the preparation of all record project correspondence; maintain project files, logs, and records; maintain drawings, samples, and all record submittals; schedule meetings, make and confirm travel arrangements, interface with all of our project subcontractors and all levels of TtFC personnel and corporate personnel. Proficiency in typing, filing and other administrative skills required. Candidate shall participate in on-site project meetings, prepare, distribute and maintain mtg minutes. Candidate shall assist in the scheduling, preparation, and support of training sessions and “brownbag” meetings, and coordinate office events. Candidate shall assist the Project Manager, other TtFC personnel, and site staff in the preparation of charts, tables, spreadsheets, and graphics, assist in initiating and tracking purchase requisitions; assist PM in the review of invoicing associated with office supplies, equipment, and other overhead expenses, supervise the inventory and storage of that office equipment and supplies, draft written responses to routine correspondence arriving at the project site and maintain records of incoming calls and requests for information from both our clients and subcontractors. Candidate shall demonstrate an ability to work under pressure and meet tight deadlines. Candidate shall have a minimum of 5 years experience as an “Administrative Assistant” or equivalent. (Prior experience as an “Administrative Assistant” on an active construction site preferred). Candidate must be able to plan his/her daily activities and shall be capable of performing functions with minimum supervision. Some college-level business education, or related field of experience preferred. Candidate shall possess a thorough working knowledge of applicable computer systems, software, and functions.
