Click on career and select Sr. Manager Facilities (Real Estate), then submit a resume and salary requirements Job Description:The Senior Real Estate Manager is responsible for recommending facilities standards across the RHD footprint and managing the overall facilities operations and execution of real estate strategy on the Western half of the United States.  In this role, the incumbent will be responsible for managing 2 direct reports and the facilities and administrative services outsource service provider.  This position provides management for both real estate projects (new-builds, renovations, etc.) as well as day-to-day facilities management for RHD locations on the west half of the US.   Primary Duties and Responsibilities· Management of facilities staff in one or more locations including project manager, facilities manager, mail room staff, reception staff and other staff members as assigned.· Provide guidance and oversight to real estate capital and expense build-out projects, ensuring projects are executed on time, within budget and with minimal impact on business operations.· Oversee day to day facilities support including general repairs & maintenance, food service, landscaping, vendor management and serve as landlord liaison.· Collaborate with key internal and external stakeholders in the execution of the real estate strategy, including, but not limited to, marketing, IT, legal, risk, sales, executive management, General Contractors, suppliers, landlords, and brokers· Develop regional policies and procedures, where necessary, to achieve real estate strategy and budget targets· Negotiate with facilities related suppliers to achieve improved quality and reduced costs· Assist in/develop annual budget, track monthly P&L performance· Identify and implement savings initiatives; responsible for real estate group savings targets· Responsible for retention and maintenance of all lease documents and their inclusion into the lease database.· Prepare, manage and control monthly lease payments, auditing statements when required to ensure accuracy.· Responsible for all contractual agreements for assigned properties ensuring all contracts meet or exceed services required for day to day operations.  This includes procurement of repairs and maintenance for general building issues related to both leased and owned properties.· Create and maintain a list of emergency contacts for every assigned office as well as contacts for all contractual agreements.· Coordinate repair services for work orders called into the work order system, resolve issues and close work orders.· Maintain seating assignments and develop group placement strategy for all corporate and regional large offices.· Transition existing locations to standardized office size requirements· Meet with department representatives and key internal stakeholders to establish and document real estate requirements, needs and schedules· Help coordinate development and approval of architectural and engineering construction drawings· Ensure all service and maintenance contracts meet RHD standards for SOX compliance and insurance requirements.· Maintain current Certificates of Insurance for all facilities related contracts.· Assure optimal functioning of building systems, including HVAC, fire/life safety, etc., where require as part of a lease premises.· Monitor programs related to safety of the employee population within the office environment.  This includes evacuation planning, loss control prevention measures and site analysis.· Contribute to the creation and long term maintenance of the disaster recovery program with a team from a cross section of RHD. Provide information as it relates to the physical properties as required.· Manage and deploy security measures to protect all physical assets through the use of card key systems and/or alarm systems.· Responsible for all mailing services inclusive of U.S. Postage systems, overnight delivery services and all messenger service throughout RHD.· Demonstrate technical expertise in both commercial real estate facilities management and commercial real estate project management  Qualifications:· IFMA or BOMA certified and at least 7+ years experience in facility management.  Familiar with furniture systems and experience in working with landlord/tenant interaction.· Travel is required – 25% to 50% · On call support after hours will be required· Ability to operate in a high-stress, multi-tasking environment with significant time sensitive deadlines· Proven ability to make change in a corporate environment· Ability to lead without supervision in a team environment· Must be detail oriented, analytical and computer literate with demonstrated supervisory skills· Knowledge of basic business and accounting practice· Ability to manage multiple projects across a geographic footprint· Understanding of real estate, facilities management and modern construction best practices and standards.· Ability to read and understand construction drawings Job informationCompany: RH Donnelley CorporationLocation: Englewood, CO 80110Status: Full Time, EmployeeJob Category: Accounting/Finance/InsuranceRelevant Work Experience: Career Level: Manager (Manager/Supervisor of Staff)Education Level: Contact InformationCompany: RH Donnelley Corporation
