Administrative Assistant - HVAC Construction

JOB DESCRIPTION

Busy Long Island City HVAC Construction Company is seeking an administrative assistant to assist President and Project Managers.  This company specializes in commercial installation and service of Air Conditioning and Heating systems for high-rise projects.  Construction experience is helpful.

Duties include but are not limited to:

1. Produce contracts using Timberline software

2. Enter Certificates of Insurance for subcontractors into Timberline software and filling.  Must verify insurance coverage meet company set standards.

3. Assemble sales brochures, composing sales letters, maintaining mailing lists.

4. Maintaining company wide address book, verify information in system, obtain current information, update books, etc.

5. Drafting general office correspondence.

6. Miscellaneous filling coping and phonecall follow-up as required.


Must be organized, analytical and self starter.  Independent worker that can juggle multiple projects.  Must have strong computer skills in Microsoft Office Word – Excel and Timberline is a plus.  Strong writing skills is required as well.  College degree is a must. 

We offer a complete benefit package and salary is based on experience. 


Hours are 8:00 AM – 5:00 PM
