Job Description
This position reports to the Senior Vice President, and will be generally directed by the Real Estate Supervisors. The Administrative Assistant will assist the legal department in document preparation for property acquisitions, escrows, lease preparation, and must be familiar with legal documents. This position will provide general office support within our legal department, and will complete special projects as assigned. The Administrative Assistant will assist with the preparation of loan applications, as well organize and gather due diligence. Duties also will include: compose non-routine correspondence/documentation on own initiative, assist in the preparation of maintaining/control of confidential records, filing, order reports, prepare packages, and communicating with title/escrow officers, attorneys, lenders and engineers.
Job Duties
q Provide administrative support: assist in preparation of loan applications, organize and gather due diligence, order reports and prepare packages.
q Constant communication with title/escrow officers, attorney’s, lenders and engineers.
q Prepare cover letters/correspondence for packages and necessary files.
q Create/Maintain all faxes, copies, files and overnight/messenger service.
q Update report file and shred old reports.
q Serve as back up: mail distribution for legal and insurance department.
Qualifications
q Bachelors Degree preferred
q Minimum of 2+ years within the Real Estate industry, in an administrative support role.
q Must be familiar with common Real Estate terminology
q Extensive computer skills with knowledge of MS Office, Word, Excel and Outlook.
q Must be able to type a minimum of 50wpm.
q Requires excellent communication & organization skills.
q Ability to handle multiple projects and posses strong work ethics.
q Must posses a high level of professionalism, tact, and judgment
q Minimal driving maybe necessary, clean DMV and valid auto insurance.
